Signing in for the first time
Before logging in for the first time, you must activate your KaiNexus account. Follow the steps below to learn how to:
- Activate your account with an email address
- Activate your account without an email address
- Request an activation email
Activate your account with an email address
If you have an email address associated with your KaiNexus account, you will receive an email with account activation instructions. Follow the link in the activation email to begin the account activation process.

Request an activation email
If you've lost the activation email or didn't see it come in, you can request a new activation email. Follow the steps below to request a new account activation email:
- Step 1: Navigate to your organization's KaiNexus sign-in screen. This URL is unique to your organization.
- Step 2: Select Can't access your account? to open the Help window.

- Step 3: Select Activate Account via Email. This will open the Activate Account window.
- Step 4: In the Activate Account window, enter your username. If you don't know your username, enter your email address instead, and we'll attempt to look up your account.
- Step 5: Check the CAPTCHA checkbox to confirm that you're not a robot. If you are in fact a robot, unfortunately, we do not currently support robots as KaiNexus users.
- Step 6: Select Activate Account and you'll be returned to the sign-in screen. A confirmation message will appear at the top of the screen, confirming that your request has gone through.
- Step 7: Within a few minutes, you should receive an email containing account activation instructions. Follow the link in the activation email to begin the account activation process.
Activate your account without an email address
If you don't have an email associated with your KaiNexus account, a KaiNexus administrator within your organization will set a temporary password for you and provide you with your username and temporary password.
When you log in for the first time, you will be taken through the activation process. As part of this process, you will be prompted to choose a new password.
Activate Account
Whether you follow the link in the activation email or go directly to your organization's KaiNexus URL, follow these steps on the Activate Account screen.
- Step 1: Select Begin Activation.
- Step 2: Signify that you have read and agree to the End User License Agreement (EULA) by clicking the checkbox.
- Step 3: Select Next. This will prompt you to set your password.
- Step 4: If you were given a temporary password to log in for the first time, you'll be prompted to enter it in the Current Password field. If you weren't given a temporary password, this field will not appear.
- Step 5: Enter your new password in the New Password field.
- Your organization will have established some security rules regarding the complexity of your password, which will be listed on this page.
If your password does not meet one of these requirements, a red x will be displayed next to the violated rule, and a red border will encircle the password. You will be unable to proceed until you enter a suitable password that matches your organization's requirements.

- Step 6: Enter your new password in the Confirm New Password field.
- You will not be able to proceed if the password entered in the New Password field does not match the password in the Confirm New Password field. Reenter your password into each field and verify that they match before continuing.
- Step 7: Click Complete Activation.
- Step 8: After completing your activation, select Take me to KaiNexus on the following screen to log into KaiNexus.
PRO TIP: You will NOT have to activate your account every single time before signing in to KaiNexus. After you activate your account for the first time, you can sign in directly using the methods below.
Sign in to KaiNexus with a username and password
- Step 1: Navigate to your organization's KaiNexus sign-in screen. This URL is unique to your organization.
- Step 2: Enter your login credentials in the following fields:
- Username: Enter your KaiNexus username.
- Password: Enter your KaiNexus password.
PRO TIP: If you forget your username or password, select Can't access your account? to reset your password or contact account support.
- Step 3 (optional): Select the Stay signed in checkbox to remain signed in to KaiNexus even when inactive. If the box is unchecked, you will get automatically signed out of KaiNexus after several minutes of inactivity.
- Step 4: Select the Sign In button. Welcome to KaiNexus!
CAUTION: For security reasons, do NOT "stay signed in" if you're using a shared device that others can access, or if the device will be left unattended and accessible.
Sign in to KaiNexus using SSO
Single Sign-On (SSO) is an authentication service that enables a User to use one set of login credentials (for example, a name and password) to access multiple applications. KaiNexus supports all SAML 2.0 SSO providers, such as Okta, Microsoft Azure, and ADFS.
To log into KaiNexus using SSO, first log into your organization's identity provider. Then you may navigate to your organization's KaiNexus URL or select your KaiNexus desktop icon.
