Item Dates

KaiNexus records dates about both when certain actions were performed and when they should be performed.

Several dates are captured for each Item in KaiNexus.

These dates can be found in the Dates panel on each Item.

Some of the dates listed above are automatically generated by the system and cannot be edited manually, while others are entered by people working on the Item and can be updated with the right permissions.

What are the key dates and who can update them?

Created date

The created date is the date on which the item was created or submitted in KaiNexus.

This date is added to the Item automatically when it is created and, by default, cannot be manually updated. However, your organization may have configured your Item such that an in-progress Item's created date can be edited by anyone who can edit the Item.

Assigned date

The assigned date is the date on which the Responsible Person was assigned to work on the Item. As such, it will only appear on Items using the Simple or Standard Team Types.

This date is added to the Item automatically when a Responsible Person is assigned and cannot be manually updated, though it will update automatically if the Item is reassigned to a new Responsible Person by a new Assigner.

Start date

The start date is either the date on which the Item transitioned into the Active status or the date on which it is scheduled to transition from the Planned status to the Active status.

The following people can edit an in-progress Item's start date:

  • For Items using the Standard Team Type:
    • The Item's Assigner.
    • Anyone with the "Assign" permission for Items in this Location.
  • For Items using the Advanced Team Type:
    • Anyone on the Item's Team except for Participants and Followers.
    • Anyone with the "Edit" permission for Items in this Location.
  • For Items using the Simple Team Type:
    • Anyone on the Item's Team except for Followers.
    • Anyone with the "Edit" permission for Items in this Location.
  • For Items using the Author-Only Team Type:
    • Anyone on the Item's Team except for Followers.
    • Anyone with the "Edit" permission for Items in this Location.

Anticipated Start date

The anticipated start date is KaiNexus's estimate as to when a planned Item that has not been given an official start date will transition into the Active status.

This date is added to the Item automatically when it is planned and cannot be manually updated. Once an official state date has been entered, the anticipated start date will disappear.

Due date

The due date is the date by which an Item should be completed. If an active Item has not been completed by this date, it will automatically transition into the Overdue status.

The due date was chosen by whoever transitioned the Item into the Active status and, for in-progress Items, can be edited by the following people:

  • For Items using the Standard Team Type:
    • The Item's Assigner and, if the Item's configured to allow it, the Responsible Person.
    • Anyone with the "Assign" permission for Items in this Location.
    • For Items using the Advanced Team Type:
      • Anyone on the Item's Team except for Participants and Followers.
      • Anyone with the "Edit" permission for Items in this Location.
    • For Items using the Simple Team Type:
      • Anyone on the Item's Team except for Followers.
      • Anyone with the "Edit" permission for Items in this Location.
    • For Items using the Author-Only Team Type:
      • Anyone on the Item's Team except for Followers.
      • Anyone with the "Edit" permission for Items in this Location.

    Anticipated Due date


    The anticipated due date is KaiNexus's estimate as to when a planned Item with a start date dependent on some other Item will be due.

    This date is added to the Item automatically when it is planned and cannot be manually updated. Once the Item gets an official due date, the anticipated due date will disappear.

    Resolution Submitted date

    The resolution submitted date is the date on which the Item's Resolution was submitted for review and it transitioned into the Resolution Submitted status.

    This date is added to the Item automatically when the Resolution is submitted and cannot be manually updated, though it will update automatically if the Resolution is updated and resubmitted.

    Completed date

    The completed date is the date on which the Item transitioned into the Complete status.

    By default, this date is added to the Item automatically when the Item is completed. However, your organization may have configured your Item such that the completed date must be manually entered while resolving or completing it.

    By default, only people with the "Quality Administrator" permission can edit this date. However, your organization may have configured your Item such that it can be edited by anyone who can edit the Item.

    Review By date

    The review by date is the date by which the Item should be reviewed.

    The review by date was originally chosen by whoever scheduled the Item for review and, regardless of the Item's status, can be edited by the following people:

    • Anyone on the Item's Team except for Participants and Followers.
    • Anyone with the "Edit" permission for Items in this Location(s).
    • For Items using the Standard Team Type, anyone with the "Assign" permission for Items in this Location(s).

    Reviewed On date

    The reviewed on date is the date on which the Item was last reviewed. This date is manually entered and updated each time the Item is reviewed and cannot otherwise be updated.

    Archived Date

    The archived date on which the Item was archived. This date is added to the Item automatically when it's archived and cannot be manually updated. If the Item is unarchived, it will be removed.

    Last Updated date

    The last updated date is the date on which the Item was last updated in a way that resulted in a Timeline entry. This date cannot be manually updated.

    Edit a date

    To edit a date, open the Item with which you want to work and locate its Dates panel — the panel that contains one or more of the aforementioned dates. Then:

    • Hover over the date you want to edit and, when it turns gray, click it.
    • In the resulting pop-up:
      • Use the date field to select the new date.
      • If editing the due date, enter an explanation for the change in the Reason for Due Date change field.
      • Click Save.
