How does it work?
Define your organization's Capacity Categories
Capacity Categories let you define and track different types of staff capacity, such as IT hours or the number of initiatives managed by CI leaders. Most organizations only need one, but you can create multiple to suit your needs.
Each Capacity Category will have one of two units of measurement:
- Hours per Week allows you to set staff capacity to a specified number of hours per week.
- Number of Items allows you to set staff capacity to a specified number of Items at a time.
Your Customer Success Manager will help you create these Capacity Categories and add them to the appropriate Templates.
Pro Tip: Visit the Capacity Categories support page to learn more about configuration options.
Set Users' Max Capacity
A user's Max Capacity is the maximum amount of work they can take on within a specific Capacity Category. It helps communicate their total availability to their teammates and leaders. When a user's commitments exceed their Max Capacity, they'll be marked as over capacity.
You'll set a Max Capacity for each user whose workload you want to track.
Example of a user's Capacity Settings
Pro Tip: Check out the following support pages for step-by-step instructions on how to set the Max Capacity for another user or yourself:
Commit capacity to Items
For Items with Capacity Tracking enabled, the team will set their commitments to the Item.
- If the Capacity Category is Hours per Week, they will enter the number of hours per week they work on the Item.
- If the Capacity Category is # of Items, they will specify whether they are committed to the Item.
The commitments users have on Active, Overdue, and Resolution Submitted Items will contribute to their Current Capacity.
A user's Current Capacity shows whether they can take on more work or if some of their workload needs to be reassigned.
Example of an Item's Capacity Panel, where you can set the team's commitment. This helps you select new team members based on their capacity and visualize the team's workload.
Pro Tip: Visit the Track Capacity on Items support page to learn how to enable Capacity Tracking on an Item, set team commitments, and select new team members based on capacity.
