Learn about the various areas of KaiNexus where you can view a user's Current Capacity.
Important: The features described on this support page require the Capacity Planning Module, which is currently in a closed BETA.
A user's Current Capacity is the total of their commitments on Items with Active, Overdue, or Resolution Submitted status—in other words, anything they're actively working on. It's often displayed as a progress bar to show how close they are to reaching their Max Capacity.
Who can view a user's Current Capacity?
If you have the Enable Capacity or Capacity Administrator permission, you can see a user’s Current Capacity when you hover over their name or profile icon anywhere in the system.
Depending on your Permission level within the system, there are several other places you can view Users’ Current Capacity.
Pro Tip: Users without the Enable Capacity or Capacity Administrator Permission will not see Capacity Planning information anywhere in the system.
How to view a user's Current Capacity
There are several places in the platform where you can view a user's Current Capacity. This includes:
- In a user's Activity
- In an Item's Capacity Panel
- In the People section or User Management
- In a People List
In a User’s Activity
You can learn the Current Capacity of an individual by viewing their Activity in their User Profile.
To access their User Profile, click their name on a People List, in search results, or in an Item's Team panel. Once their profile opens, click View Activity.
The User’s personalized activity page will open. Click on the Capacity tab to view the Items in which the User has a Commitment.
Pro Tip: You must have the Capacity Administrator permission to see the Capacity tab in other users' profiles.
- Use the Capacity Category dropdown to see Items from only one Capacity Category. By default, all Capacity Categories are represented.
- Use the Current Commitment column to adjust the User’s Commitments on each Item.
- Select Save after you’ve made an adjustment.
- You must have permission to edit the Item in order to change a User’s Commitment on the Item.
In the Capacity Panel of an Item
Pro Tip: If you do not have the Enable Capacity or Capacity Administrator permission, the contents of the Capacity Panel will be hidden.
Use the Capacity Panel to view the Current Capacity for an Item’s Team. This is helpful when adjusting commitments during an ongoing project.
To view a Team’s Current Capacity, navigate to the Capacity Panel.

- When capacity tracking is enabled for an Item, this panel will display the Item Team along with a Current Capacity bar for each user. By default, all Team Roles with capacity tracking enabled will appear, but Templates can be customized to show only specific Team Roles if needed.
- Reference the Current Capacity bar for each Team member to assess their capacity:
- If the user does not have a Max Capacity set for the Capacity Category tracked on this Item, no bar will appear.
- The dark green portion of the bar represents the user's Current Commitments on other Items. The light green portion represents the user's commitment to the current Item.
- If the bar is red, the user has exceeded their Max Capacity.
- The percentage shown in the bar represents how much of a user's Max Capacity is currently taken up by their active commitments.
- To edit the team’s current commitment to the Item, hover over the Capacity Panel and click the pencil icon.
- This opens the Edit Capacity window, where you can adjust each team member’s commitment.
- Only Team Roles with capacity tracking enabled for the current Capacity Category will appear in this window.
In the People section and User Management
If your System Role Permissions give you access to the People section of KaiNexus or User Management, you can view the Current Capacity for all users in the system.
To view Current Capacity in the People section:
- Navigate to the People section.
- Each Capacity Category has its own column displaying each user's Current Capacity bar. If your organization's default People List columns have not been customized, the Capacity columns will automatically appear for users who can view capacity data.
- Click a Capacity Bar to view the list of Items the user is committed to in that Capacity Category. In this window, you can easily edit the user's commitments.
- Use the Capacity quick filter to see people who are above or below capacity in any Capacity Category.
- Hover over a user’s name or icon to see their Current Capacity bar for all Capacity Categories for which the user has a Max Capacity set.
To view Current Capacity in User Management:
- Navigate to Admin > User Management.
- Add the column corresponding to the Capacity Category you'd like to view. To add a column to the list:
- Hover over the header of any column, and select the drop-down arrow.
- Select Columns.
- In the resulting window, select the Capacity column you'd like to add to the list. There will be one column for each Capacity Category, which will display each user's Current Capacity bar for that category.
- You can also hover over a user’s name or icon to see their Current Capacity bar for all Capacity Categories for which the user has a Max Capacity set.
On a People List Card
A great way to make Current Capacity easily accessible and viewable by others is adding a People List Card to a Board. This is a great option for Huddle Boards, Leader Boards, and other Boards used to monitor team activity.
Pro Tip: Click a Capacity Bar to open a list of Items the user is committed to in a certain Capacity Category. This provides a quick and easy way to edit user commitments directly from a Board.
To add a Capacity column to your People List Card:
- Select the ellipse on the right of the Card Header
- Select the pencil icon next to List.
- In the Edit View window, use the search field to select a Capacity column. There will be one column corresponding to each of your organization's Capacity Categories.
- Select Save.
