Edit your User Profile

How do I access my User Profile?

  • Click your profile picture in the top right corner of the Navigation Bar.
  • In the resulting drop-down menu, select User Profile.

How do I edit my User Profile?

In the resulting User Profile window:

  • Click the Actions button in the top right corner of the window.
  • Select Edit Profile from the Actions drop-down menu.
  • In the resulting Edit Profile window, edit the relevant information.
  • Click Save.
    • Click Cancel to exit the Edit Profile window and discard your profile changes.

What can I edit in my User Profile?

In the Edit Profile window, you can edit your:

  • First and Last Name

  • Username: Many of our customers assign usernames to their Users that match either their email, employee ID number, or their username from their work computers. 

    • If your organization uses SSO to log in to KaiNexus, do NOT change your username. Your KaiNexus username must match your SSO credentials exactly or you will not be able to log in. Learn more here.

    • Remember, usernames must be unique; they cannot match another username in your KaiNexus instance. 

    • If you change your username, you will be automatically logged out and will need to log in again with the new username.
  • Email: Make sure your email address is up-to-date to ensure that you receive all important notifications about your account and improvement work.

    • Typically, this is the same professional email address that you use within your organization.
    • If you remove your email address from your account, you will not receive any email correspondence from KaiNexus.
  • User Type: Your User Type controls your level of access within KaiNexus.

    • Only User Admins can edit User Type.
  • Persona

    • Only User Admins can edit Persona.

  • Language

    • These must be configured by your CE Lead.

  • Badges: If you are a Global Badge Administrator and your organization has the Custom Badge Module, you can give yourself any of your organization's manually-grantable Badges (if there are any).

  • Network Locations: You can have a maximum of 25 Locations.

    • You can have a maximum of 25 Locations.
    • Only User Admins can edit their Network Locations.

  • Roles: Your Role determines your default notification settings as well as your powers and permissions within KaiNexus.


Expand the Additional Info section of the Edit Profile window, to edit your:

  • Employee ID
  • Hire Date
  • Physical Location: This is your physical location. For example, if your organization has several buildings, you would put the name of your building (and perhaps the floor) in this field.
  • Work Phone
  • Mobile Phone
  • Pager
  • Titles: You can have as many Titles, or degrees, as applicable.

  • Positions: You can have as many Positions, or job functions, as applicable.

  • Certifications: You can have as many Certifications, or confirmations of the employee’s qualifications or education, as applicable.
