The Manage Boards window

The Manage Boards window allows you to view your public and private Boards at a high level, easily visualize how your Boards are nested, and monitor Board engagement.

Two Line OfieYou must have the "Create Boards" permission to open the Manage Boards window and perform the functions detailed in this article.

The Manage Boards window displays the hierarchy of all the Boards you have permission to see. You can navigate to or manage any of your Boards from this window.

To access the Manage Boards window:

  • Click Boards in the navigation bar at the top of the app to open the Boards menu.
  • Click Manage Boards at the bottom of the resulting drop-down menu and the Manage Boards window will open.

The basics

  • Click a Board to open it. Note that:
    • If the Board has a lock icon, you do not have permission to view it.
  • The Manage Boards window opens to the "Shared" tab and lists all public Boards that you have permission to view. To see your private Boards, click Private to change tabs.
  • Use the Search Boards field to search for a particular Board by name. If the Board you're searching for is a public Board, make sure you're on the "Shared" tab. If it's one of your private Boards, make sure you're on the "Private" tab instead.
  • Click the caret icon to the right of the "Search Boards" field to quickly collapse or expand the list of Boards. When collapsed, only top-level Boards will be listed.
  • If a Board has other Boards nested beneath it, there will be a right caret icon to its left. Click that icon to expand that Board by one tier.
  • If a Board has been expanded to show its nested Boards, there will be a down caret icon to its left. Click that icon to collapse that Board, hiding any Board nested beneath it.
  • Some key information about people's engagement with each Board is listed:
    • Last Viewed Date: Displays the date the Board was last viewed by anyone.
    • # of Views: Displays the total number of views the Board has gotten within the last 90 days.

    • # of Users: Displays the number of unique Users who have viewed the Board within the last 90 days.

      • Click this value for any Board to open the list of users it references.
  • Each Board listed on the Manage Boards window will have one or more of the following Board icons.
Board Icon Icon Description
The globe icon The globe icon indicates public Boards that are visible to every user in the system.
The people icon The people icon indicates public Boards that are visible only to certain individual users or only to people with a specific Role or who are in a specific Location.
The single-person icon The single-person icon indicates private Boards that are only visible to you.
The folder icon The folder icon indicates Boards with no Cards. These Boards serve as placeholders under which related Boards can be nested.

The lock icon

The lock icon indicates Boards that you do not have permission to view. Such Boards will only appear on the Board menu if a Board you have permission to see is nested under them.

The eye-slash icon

The eye-slash icon indicates Boards that you have hidden from your Boards menu. Such Boards will only appear on the Manage Boards window.

The thumbtack icon
The thumbtack icon indicates Boards that you have pinned to the top level of your Boards menu.

Bulk change Boards

Two Line OfieOnly public Boards — those listed on the Manage Boards window's "Shared" tab — can be bulk changed.


You must have permission to view and edit each Board you want to bulk change. If you don't have permission to make the chosen change to one of the selected Boards, that Board will not be affected by the bulk change.


To bulk change Boards, open the Manage Boards window as described above, then:

  • Make sure you're on the "Shared" tab.
  • Click the ellipsis icon in the top right corner over the window.

  • Click Bulk Change in the resulting drop-down menu.

After clicking Bulk Change, a checkbox will appear next to each Board on the list, and a "Bulk Change" button will appear.

  • Select the checkbox of each Board you want to update.
  • Click Bulk Change and a drop-down listing the possible changes will open. Click the change you want to make.
    • Click Change Parent to change the Board under which the selected Boards are nested. In the resulting window:
      • Parent: Use this field to search for and select the appropriate Board. Remember that public Boards can only be nested under other public Boards.
      • Click Save.
    • Click Change Viewer(s) to update the selected Boards' list of Viewers. Viewers can access the Board but cannot make changes to its configuration.

      In the resulting window:
      • Select the type of change: Expand the drop-down to choose the type of change you want to make.
        • Add to existing: Add the people you select as Viewers without affecting the Boards' current Viewers.
        • Replace all existing: Remove the Boards' current Viewers and replace them with the people you select.
      • Viewer(s): Use this field to search for and select the people, Locations, or Roles that should be given access to these Boards.
      • Click Save.
    • Click Change Editor(s) to update the selected Boards' list of Editors. Editors can access the Board and make changes to its Cards.

      In the resulting window:
      • Select the type of change: Expand the drop-down to choose the type of change you want to make.
        • Add to existing: Add the people you select as Editors without affecting the Boards' current Editors.
        • Remove from existing: Remove the people you select as Editors without affecting any of the Boards' other Editors.
        • Replace all existing: Remove the Boards' current Editors and replace them with the people you select.
        • Clear existing: Remove all of the Boards' current Editors.
      • Editor(s): Use this field to search for and select the appropriate people.
      • Click Save.
    • Click Change Subscriber(s) to update the selected Boards' list of Subscribers. Subscribers will receive a link to this Board in their Subscription email.

      In the resulting window:
      • Select the type of change: Expand the drop-down to choose the type of change you want to make.
        • Add to existing: Add the people you select as Subscribers without affecting the Boards' current Subscribers.
        • Remove from existing: Remove the people you select as Subscribers without affecting any of the Boards' other Subscribers.
        • Replace all existing: Remove the Boards' current Subscribers and replace them with the people you select.
        • Clear existing: Remove all of the Boards' current Subscribers.
      • Subscriber(s): Use this field to search for and select the appropriate people.
      • Click Save.
    • Click Change Location(s) to update the selected Boards' Locations. People with the "Board Administrator" permission in the Boards' Location(s) will be able to view and edit this Board even if they weren't explicitly added to the Viewers or Editors lists.

      In the resulting window:
      • Select the type of change: Expand the drop-down to choose the type of change you want to make.
        • Add to existing: Add the Locations you select without affecting the Boards' current Locations.
        • Replace all existing: Remove the Boards' current Locations and replace them with those you select.
      • Select the Location(s): Use this field to search for and select the appropriate Locations.
      • Click Save.
    • Click Change Owner to update the selected Boards' Owner. The Owner can edit every aspect of the Board, regardless of their permissions. There can only be one Owner per Board.
      • Owner: Use this field to search for and select the Boards' new Owner.
      • Click Save.
    • Click Delete to delete the selected Boards.

Two Line OfieCAUTION: When you delete a Board, the Board is permanently removed from KaiNexus and cannot be recovered.

      • Check the I understand this cannot be undone checkbox in the resulting window.
      • Click Save.

Work with an individual Board

To edit an individual Board from the Manage Boards window:

  • Hover over the Board with which you want to work so that it is highlighted and click the ellipsis icon that appears to its left. A drop-down menu listing the p

  • In the resulting drop-down menu:
    • Click Edit to open the Edit Board window from which you can update the Board's general settings, layout filters, default print settings, default present settings, and how and with whom it's shared.

  • Click Copy to make a private copy of the Board.
    • Click Copy in the resulting window. The new Board will appear in the Board menu and in the "Private" tab on the Manage Boards window.

  • Click Board Link to get a direct link to the Board.
    • A pop-up will appear listing the direct URL.
    • Click Copy to copy that URL to your clipboard.
    • Save the URL for your own later use or share it with someone else. Note that the person you share it with will still need to have permission to view the Board.
  • Click Make Default Board to make this Board the Board you see each time you log into KaiNexus. You can only have one default Board at a time, so this Board will replace your current default.
    • If this Board is already your default, this option will be replaced by "Clear Default Board." Click Clear Default Board to reset your default Board.
  • Click Pin to pin the Board to the top level of the Board menu for quick and easy access.
    • If this Board is already pinned, this option will be replaced by "Unpin." Click Unpin to return the Board to its original position in the Board menu.
  • Click Hide to remove the Board from your Board menu. Doing so won't delete the Board or hide it for anyone but you and it will still be listed on the Manage Boards window.
    • If this Board is already hidden, this option will be replaced by "Unhide." Click Unhide to make the Board reappear on your Board menu.
  • Click Delete to delete the Board.
    • Click Delete in the resulting confirmation window.
