Add a time tracking estimate or log work

Give projects an estimate and log users' time to track how long a project actually takes to complete.

Two Line OfieREQUIRED: Time Tracking must be enabled on your Item to perform the functions on this support page. Reach out to your Customer Success Manager to enable Time Tracking.

Time Tracking gives you the ability to record the time you (or anyone else) have spent working on an Item in KaiNexus.

If Time Tracking is enabled for a Template:

  • A “Time Tracking” panel will be added to each Item of that type.
  • The "Estimate" and "Log Work" options will appear in the "Actions" menu of each Item of that type.

There are three components to Time Tracking:

  1. The estimate is your best guess as to how long it will actually take to complete the work, in minutes or hours.
  2. Work logs are added by anyone who has worked on the Item and detail how many minutes or hours they worked on it and what they did.
  3. The Time Tracking panel displays the estimate, the remaining time needed, and the amount of progress that has been logged.

Two Line OfieTime Tracking can be logged on any in-progress Item for which it's enabled. If you want to log it on a completed Item, you'll need to reopen it first.

Who can add estimates and log work with Time Tracking?

  • Anyone on the Item's Team except for Followers.
  • Anyone with the "Assign" permission for Items in this Location(s).
  • Anyone with the "Edit" permission for Items in this Location(s).

Add a Time Tracking estimate

To add a Time Tracking estimate to an Item, open the Item with which you want to work, then:

  • Click Actions in the top right corner of the page.

  • Click Estimate in the resulting drop-down menu and the Item's "Estimate" window will open.
    • Estimated Time Needed:
      • Enter your estimate of the time needed in the Amount field.
      • Select the unit of time — hours or minutes — in the drop-down to the right of the "Amount" field.
    • Click Save. The estimate will be added to the Time Tracking panel, along with a progress bar that will visually display the amount of work that has been logged compared to the total estimate.

Update the Time Tracking estimate

If an estimate has already been added to the Item but needs to be updated, open the Item with which you want to work, then:

  • Click Actions in the top right corner of the page.
  • Click Estimate in the resulting drop-down menu and the Item's "Estimate" window will open. The original estimate will be listed along with the calculated remaining time needed.
    • Original Estimate: Update the original estimate and its unit of measurement if necessary.
      • Enter your estimate of the time needed in the Amount field.
      • Select the unit of time — hours or minutes — in the drop-down to the right of the "Amount" field.
    • Remaining Time Needed: Update the amount of time still needed to add a new estimate. The old estimate will still be visible.
      • Enter the remaining time needed in the Amount field.
      • Select the unit of time — hours or minutes — in the drop-down to the right of the "Amount" field.
    • Click Save. The new estimate will be added to the Time Tracking panel, along with a progress bar that will visually display the amount of work that has been logged compared to the new estimate. The original estimate will still be displayed on the panel but will no longer have a progress bar.

Add a work log

To add a Time Tracking work log to an Item, open the Item with which you want to work, then:

  • Click Actions in the top right corner of the page.

  • Click Log Work in the resulting drop-down menu and the Item's "Log Work" window will open. By default, you will be entered as the person who did the work and the work log date will be set to the current date.
    • Person: Expand the drop-down to choose the name of the person who did the work.
    • Time Spent:
      • Enter the amount of time worked in the Amount field.
      • Select the unit of time — hours or minutes — in the drop-down to the right of the "Amount" field.
    • Work Log Date: Enter the date and time at which this work began.
    • Description: Enter an optional description of the work that was done in this field.
    • Click Save.

Review and manage work logs with the Time Tracking panel

To view all work logs, open the Item with which you want to work, then:

  • Hover over the Time Tracking panel.
  • Click the Expand button that appears in its top right corner.

Edit an existing work log

To edit an existing work log, open the Item's "Work Log" window as described above, then:

  • Hover over the work log you want to edit so that it's highlighted in blue.
  • Click the pencil button that appears to its right. The "Log Work" window will open from which you can make any necessary changes:
    • Person: Expand the drop-down to update the name of the person who did the work.
    • Time Spent:
      • Edit the amount of time worked in the Amount field.
      • Change the unit of time — hours or minutes — with the drop-down to the right of the "Amount" field.
    • Work Log Date: Edit the date and time at which this work began.
    • Description: Edit the optional description of the work that was done in this field.
    • Click Save.

Delete an existing work log

Two Line OfieCaution: When you delete a work log, the log is permanently removed from KaiNexus. This cannot be undone.

To delete an existing work log, open the Item's "Work Log" window as described above, then:

  • Hover over the work log you want to delete so that it's highlighted in blue.
  • Click the x button that appears to its right. The work log will be deleted and will disappear from the "Work Log" window. The time it included will no longer be counted in the Time Tracking calculation or progress bar.

Edit the estimate

To edit the estimate from the "Time Tracking" panel, open the Item's "Work Log" window as described above, then:

  • Click Edit Estimate and the Item's "Estimate" window will open. The original estimate will be listed along with the calculated remaining time needed.
    • Original Estimate: Update the original estimate and its unit of measurement if necessary.
      • Enter your estimate of the time needed in the Amount field.
      • Select the unit of time — hours or minutes — in the drop-down to the right of the "Amount" field.
    • Remaining Time Needed: Update the amount of time still needed to add a new estimate. The old estimate will still be visible.
      • Enter the remaining time needed in the Amount field.
      • Select the unit of time — hours or minutes — in the drop-down to the right of the "Amount" field.
    • Click Save. The new estimate will be added to the Time Tracking panel, along with a progress bar that will visually display the amount of work that has been logged compared to the new estimate. The original estimate will still be displayed on the panel but will no longer have a progress bar.

Add a new work log

To log work from the Time Tracking panel, either:

  • Open the "Work Log" window as described above and then click Log Work, or
  • Click Log Work on the Time Tracking panel.

The "Log Work" window will open. By default, you will be entered as the person who did the work and the work log date will be set to the current date.

  • Person: Expand the drop-down to choose the name of the person who did the work.
  • Time Spent:
    • Enter the amount of time worked in the Amount field.
    • Select the unit of time — hours or minutes — in the drop-down to the right of the "Amount" field.
  • Work Log Date: Enter the date and time at which this work began.
  • Description: Enter an optional description of the work that was done in this field.
  • Click Save.
