Edit a Standard Work Item

Edit a Standard Work Item to add new information and details as needed.

When a Standard Work Group is added to an Item, any Standard Work Items that have been added to that Standard Work Group will be nested under that Item.

Who can edit a Standard Work Item?

Anyone with the "Quality Administrator" permission can edit a Standard Work Item.

People with other Administrator permissions may be able to access the Standard Work Groups Administration page, but will not be able to make changes to it.

Edit a Standard Work Item

To edit a Standard Work Item, navigate to the Standard Work administration page, then:

  • Click the plus icon to the left of the name of the Standard Work Group with which you want to work and the Group's information will expand.

Edit the Standard Work Item's details

A Standard Work Item's details — its fields and Attributes — can be edited as any other Item's could. The details will be automatically filled in each time the Standard Work Item is created when the Standard Work Group is added to an Item in KaiNexus.

To edit a Standard Work Item's details, open the Stand Work Item's work panel as described above, then:

  • Click Actions in the top right corner of the page.
  • Click Edit Details in the resulting drop-down menu and the Edit window will open.
  • Make any necessary changes to the Item's details, then click Save.

Change the Standard Work Item's status

Standard Work Items can either be New or Planned. This will determine the initial status of these Items when the Standard Work Group is added to an Item.

To change the status of a Standard Work Item, open the Standard Work Item's work panel as described above, then:

  • Click the Item's status indiciator.
  • To plan the Item, click Planned and the Plan window will open.
    • If you don't want this Standard Work Item to be dependent on another Item in this Standard Work Group or its parent Item, select Decide Later, then click Plan.
    • If you want this Standard Work Item to be dependent on another Item in this Standard Work Group or its parent Item, select Dependent On and additional options will appear:
      • Click the Start Of radio button if this Standard Work Item should be activated based on the start date of another Item in this Standard Work Group (or its parent Item) or click the Completion Of radio button if it should be activated based on the completion date of another Item in this Group (or its parent Item).
      • Choose item(s): Use this field to search for and select the Item(s) on which this Standard Work Item should be dependent. You will only be able to choose from Items in this Standard Work Group.
      • The Item's Parent checkbox: When enabled, this Standard Work Item will be made dependent on the start or completion of its parent Item — the Item to which the Standard Work Group will be added.
      • # of Days: Enter the number of days before/after the Item's start/completion date this Standard Work Item should be activated. Enter 0 if it should be activated on the start/completion date.
      • Click the Before radio button if this Standard Work Item should be activated the set number of days before the other Item's start/completion date. Click the After radio button if it should be activated the set number of days after the other Item's start/completion date.
      • Days to Complete: Enter the number of days it should take to complete this Standard Work Item once it has been activated. This will be used to calculate the Item's due date.
      • Click Plan. The Standard Work Item will enter the Planned status.
  • To make the Item New, click New and the Make New window will open.
    • Reason for reverting to New: Enter an explanation as to why the Item is being reverted to the New status.
    • Click Save. The Standard Work Item will enter the New status.

Add and edit a Standard Work Chart's data

If the Standard Work Item is a Chart, you may want that standard Chart to always be created with certain basic data in place or with certain options data series built and various options enabled. If this is the case, you can add those configurations to the Standard Work Chart so that they'll be in place every time the Standard Work Group is added to an Item in KaiNexus.

To do so, open the Standard Work Item's work panel as described above, then:

    • Click Actions in the top right corner of the page.
    • Click Edit Chart in the resulting drop-down menu and the Edit Data window will open.
    • Build the Chart as you normally would, then click Save.

    Add, edit, and delete files

    Any files that are included on a Standard Work Item will be attached to that Item each time the Standard Work Group is added to an Item in KaiNexus. This is a great way of making sure important documents are never forgotten or lost.

    To add a file to a Standard Work Item, open the Standard Work Item's work panel as described above, then:

    • Click Add File in the Files panel.
    • Use the resulting window to select and add the correct file(s) from your computer.
    • The new files will be listed in the Files panel. If you attached an image file, it may appear in the Images panel and/or on the Images tab (depending on how your organization has configured this Item).

    Two Line OfiePro Tip: You can also attach a file by dragging and dropping it directly onto the Files panel. The Files panel be outlined in green when it registers that a file is being dragged onto it.


    To edit a file on a Standard Work Item, open the Standard Work Item's work panel as described above, then:

    • Hover over the Files panel and click the pencil icon that appears in the top right corner. A pencil icon and an x icon will appear to the right of each file.
    • Click the pencil icon to its right and its edit window will open. Edit the following information as needed. 
      • File name (required): The name will be used to identify this file.
      • Description: Enter an optional description that will appear when hovering over the file's name in the Files panel.
      • The Show in Image area checkbox: This checkbox is only shown for image files. When this box is checked, the "Column" section will appear beneath the checkbox and the image will be displayed in the Images panel and/or on the Images tab.
        • Under the Column header:
          • Click either the Default, Force Left, or Force Right radio button to decide whether this image file should be displayed in the next available position, in the left column, or in the right column.

            This decision will only take effect when there are two or more image files displayed in the Image area.
      • Click Save

    To delete a file on a Standard Work Item, open the Standard Work Item's work panel as described above, then:

    • Hover over the Files panel and click the pencil icon that appears in the top right corner. A pencil icon and an x icon will appear to the right of each file.
    • To delete a file, click the x icon to its right and a confirmation window will open.
    • Click Delete and the file will be removed from this Item.

    Add, edit, and delete links

    Any links that are included on a Standard Work Item will be included on that Item each time the Standard Work Group is added to an Item in KaiNexus.

    To add a link to a Standard Work Item, open the Standard Work Item's work panel as described above, then:

    • Click Add Link in the Links panel. In the resulting window:
      • Leave Web Link selected to add an external link.
        • Name (required): The name will be used to identify this link.
        • Address: The URL to which you are linking.
      • Select Item to add a link to another Item in KaiNexus.
        • Item (required): Use this field to search for the Item to which you are linking.
        • Relationship (required): Expand the drop-down to select the manner in which these two Items are connected. Links given the same relationship will be grouped together in the Item's Links panel.
      • Click Save. The new link will appear in the Links panel.

    To edit a link on a Standard Work Item, open the Standard Work Item's work panel as described above, then:

    • Hover over the Links panel and click the pencil icon that appears in the top right corner. A pencil icon and an x icon will appear to the right of each link.
    • Click the pencil icon to its right and the "Edit Link" window will open.
      • For internal links, you can update the following information:
        • Item (required): Use this field to search for and update the Item to which you are linking.
        • Relationship (required): Expand the drop-down to update the manner in which these two Items are connected. Links given the same relationship will be grouped together in the Item's Links panel.
      • For external links, you can update the following information:
        • Name (required): The name will be used to identify this link.
        • Address: The URL to which you are linking.
      • Click Save.
    To delete a link on a Standard Work Item, open the Standard Work Item's work panel as described above, then:
    • Hover over the Links panel and click the pencil icon that appears in the top right corner. A pencil icon and an x icon will appear to the right of each link.
    • Click the x icon to its right and a confirmation window will open.
    • Click Delete and the link will be removed from this Item.
