Create a Standard Work Group or Standard Work Item

NOTE: The Admin area is only accessible by administrators; only Quality Administrators can perform the functions detailed on this support page.

 

How do I create a new Standard Work Group?

Within the Admin section navigate to the Standard Work page, then click in the top right corner of the page.


In the resulting window:

  • Enter the name of this Group in the “Name” field.

  • (**Optional**) Enter a description of this Group in the “Description” field. People will see this description when hovering over the Standard Work Group’s name.

  • Add any template to which this Standard Work Group should be available to the “Templates - Available” field. Users will be able to add this Group to these templates when appropriate.

  • Add any template for which this Standard Work Group should be automatically created to the “Templates - Auto Create” field. When an item of one of these types is created, every item in the Group will be automatically built and nested beneath it.
  • Click .

 

How do I create a new Standard Work Item?

Within the Admin section  navigate to the Standard Work page, locate the Standard Work Group with which you want to work with in the list of Groups, and click  to to its left to expand it.

Click in the top right corner of the Group’s “Items” section.

In the resulting drop-down menu, click the template with which you want to work.

In the resulting window, create the Standard Work Item as you normally would, filling out any required and optional fields and Attributes, and adding any relevant links or attachments. When you’re finished, click . The Standard Work Item will be added to the Group’s “Items” list.

 

Change the status of a Standard Work Item

Standard Work Items can either be in the New or Planned statuses. These statuses will determine the initial status of these Items when they are added to parent items in KaiNexus.

To change the status of a Standard Work Item, click its name in the “Items” list. In the resulting window:

  • Click the status indicator.
  • In the resulting drop-down menu:

    • Enter a reason for this change in the “Reason for reverting to new” field.

    • Click .

    • Click “Decide Later” if you don’t want this item to be automatically activated at some point.

    • Click “Dependent On” if you want this item to be automatically activated based on another item's start/end date.

      • If you want this item to activate based on the start date of another item, select “Start Of.”

        If you want this item to activate based on the completion date of another item, select “Completion Of.”

      • Either select the item(s) on which this item should be dependent in the “Choose the item(s) this is dependent on…” field or check the box next to "Use Item's Parent" if you want this item to be dependent on its parent.

      • If you want this item to activate a certain number of days before the start/completion date of the selected item, enter that number in the “# of Days” field and select “Before.”

        If you want this item to activate a certain number of days after the start/completion date of the selected item, enter that number in the “# of Days” field and select “After.”

        If you want this item to activate immediately upon the start/completion date of the selected item, just set the “# of Days” field to 0.

      • To have the item’s due date be automatically calculated and set, enter the number of days it should take to be completed in the “Days to Complete” field.
         
    • Click .

PRO TIP: You have the ability to make Items dependent on the start or completion of an Item in a separate sub Project/Improvement.

 

For example, if you have a Standard Work Group containing five sub-Projects and there is a Task in Project #2 that is dependent on the completion of a Task in Project #1, you have the ability to make that dependency. 

 

Add data to a Standard Work Chart

If you’re working with a Standard Work Chart, you can add data to it if you want this Chart to always be created with certain data in place when this Standard Work Group is added to an item in KaiNexus.

To add data to a Standard Work Chart, click its name in the “Items” list. In the resulting window, edit the Chart’s data as you normally would.

 

Nest an Item under a Standard Work Item

If you want a Standard Work Group to have multiple tiers of nested items, you can nest additional items under any of its Standard Work Items.

To nest items under a Standard Work Item, click its name in the “Items” list. In the resulting window, add new nested Projects, Improvements, Charts, Incidents (if the Incident Add-On is enabled for your organization), and/or Tasks as you normally would.

 

NOTE: Items nested under a Standard Work Item will not be displayed in the Standard Work Group’s “Items” section.

 

Add a link or attachment to a Standard Work Item

If you want links and/or attachments to be automatically added to a Standard Work Item when the Group is nested to a parent item in KaiNexus, you can add them to the Standard Work Item.

To add a link or attachment to a Standard Work Item, click its name in the “items” list. In the resulting window, add a new link or attachment as you normally would.

 

How do I add a File to a Standard Work Group?

Within the Admin section navigate to the Standard Work page, locate the Standard Work Group with which you want to work with in the list of Groups, and click  to its left to expand it.


Click  in the top right corner of the Group’s “Files” section.

 

 

Add the correct file from your computer.

When users add this Standard Work Group to any of their items, this file will be automatically added to that item along with any of the Standard Work Items included in this Group.

 

PRO TIP: If you’re adding an image to a Standard Work Group, you can get it to show up within the Template’s “Images” section by editing the File within the “Files” section.

 

  • Edit the Image file you added to the “Files” section by clicking to the right of the file.

  • In the resulting window, you can:

    • Change the name of the file in the “File Name” field.

    • (Optional) Enter in a description of the file in the “Description” field. People will see this description when hovering over the File name within the “Files” section.

    • Adjust the width of the image in the “Width” field. (In pixels)

    • Adjust the height of the image in the “Height” field. (In pixels)

    • Check the box next to “Show in Images area” to have this image file show up within the “Images” section on the Template when this Standard Work Group is added to the Item.

    • When you’re done, click .

 

How do I add a Link to a Standard Work Group?

Within the Admin section navigate to the Standard Work page, locate the Standard Work Group with which you want to work with in the list of Groups, and click + to its left to expand it.

Click in the top right corner of the Group within the “Links” section.



 

In the resulting window, enter the name and address of the Link you want to add to this Standard Work Group.

When users add this Standard Work Group to any of their Items, this link will automatically be added to that Item along with any of the Standard Work Items included in this Group.
