Edit several people at once.
If you're managing multiple people's accounts, you might find yourself needing to update several of them with the same information. Rather than searching for and editing each person one at a time, you can bulk change them directly from any list in KaiNexus including:
- Any list in the People section
- The User Management administration page (if you're a User Admin)
- Any People List Card
Bulk change is great if you're making the same change to a bunch of people, but if you're updating different information on each one, you'll need to edit them individually instead.
With bulk change, you can edit most aspects of a person's profile, change the days and times at which they receive their digests and subscription emails, change their default Boards, send them activation emails, or even turn their emails off.
Who can bulk change people?
To bulk change people, you must have permission to manage each of the people you want to edit.
- Anyone with the "Global User Administrator" permission can manage users anywhere in the organization, though, depending on the configuration of that permission, they may be limited in which Roles they can grant.
- Anyone with the "Local User Administrator" permission can manage users in their Location or below or in the Location specified by that permission's configuration. They may also be limited in which Roles they can grant.
If you don't have the right permissions to edit one of the selected people, that person will not be affected by the bulk change.
Bulk change people
First, navigate to the list with which you want to work, then:
- If working with a People List Card:
- Click the ellipsis in the top right corner of the Card.
- Click Bulk Change in the resulting drop-down menu.
- For any other People List:
- Click Actions in the top right corner of the list.
- Click Bulk Change in the resulting drop-down menu.
After clicking Bulk Change, a checkbox will appear next to each person on the list and a "Bulk Change" button will appear in the top left corner of the list.
- Select the checkbox of each person you want to update.
- Click Bulk Change and a drop-down listing the possible changes will open. Click the change you want to perform.
- Change User Type — Change the users' User Type.
- Change Persona — Change the users' Persona.
- Change Location(s) — Add or replace the users' Locations.
- Change Role(s) — Add, remove, replace, or completely clear the users' Roles.
- Change Titles — Add, remove, replace, or completely clear the users' Titles.
- Change Positions — Add, remove, replace, or completely clear the users' Positions.
- Change Employment Statuses — Add, remove, replace, or completely clear the users' Employment Statuses.
- Change Certifications — Add, remove, replace, or completely clear the users' Certifications.
- Change Default Board — Change the users' Default Board.
- Change Badge(s) — Add, remove, replace, or completely clear the users' (manually grantable) Badges. Your organization must have the Badges module enabled.
- Send Activation Email — Send an activation email to the selected General or Capture users that have an email address associated with their account and have not yet activated their account.
- Update Single Sign-on Bypassed — Enable username and password management for the selected users, exempting them from using your organization's single sign-on system. Your organization must have the Single Sign-On module enabled.
- Change Digest Days — Change the day on which the users will receive their digest emails.
- Change Subscription Days — Change the day on which the users will receive their subscription emails.
- Change Digest/Subscription Time — Change the time at which the users will receive their digest and subscription emails.
- Turn Email On/Off — Enable or disable KaiNexus emails for the selected users. Account-based emails (such as password reset emails) will still be sent if the user's email is disabled.
Remember: Your changes will only be applied to people that you have permission to edit.
Change User Type
After clicking Change User Type, the "Bulk Change User Type" window will open.
- Select a new User Type for the selected user(s): Expand the drop-down to choose the new User Type.
If a user becomes a General or Capture user and has not yet activated their account, they will be sent an account activation email. - Click Save.
Change Persona
After clicking Change Persona, the "Bulk Change Persona" window will open.
- Select a new Persona for the selected user(s): Expand the drop-down to choose the users' new Persona.
If a user becomes a General or Capture user and has not yet activated their account, they will be sent an account activation email. - Click Save.
Change Location(s)
After clicking Change Location(s), the "Bulk Change Location(s)" window will open.
- Select the type of change: Expand the drop-down to choose the type of change you want to make.
- Add to existing: Add the Locations you select without affecting the users' current Locations.
- Replace all existing: Remove the users' current Locations and replace them with the new Locations you select.
- Select the Location(s): Use this field to search for and select the appropriate Locations.
- Click Save.
Change Role(s)
After clicking Change Role(s), the "Bulk Change Role(s)" window will open.
- Select the type of change: Expand the drop-down to choose the type of change you want to make.
- Add to existing: Add the Roles you select without affecting the users' current Roles.
- Remove from existing: Remove the Roles you select without affecting any of the users' other Roles.
- Replace all existing: Remove the users' Roles and replace them with the new Roles you select.
- Clear existing: Remove all of the users' current Roles.
- Select the Role(s): Use this field to search for and select the appropriate Roles.
- Click Save.
Change Titles
If your organization does not have any Titles configured, this option will not be available.
After clicking Change Titles, the "Bulk Change Titles" window will open.
- Select the type of change: Expand the drop-down to choose the type of change you want to make.
- Add to existing: Add the Titles you select without affecting the users' current Titles.
- Remove from existing: Remove the Titles you select without affecting any of the users' other Titles.
- Replace all existing: Remove the users' Titles and replace them with the new Titles you select.
- Clear existing: Remove all of the users' current Titles.
- Select the Titles: Use this field to search for and select the appropriate Titles.
- Click Save.
Change Positions
If your organization does not have any Positions configured, this option will not be available.
After clicking Change Positions, the "Bulk Change Positions" window will open.
- Select the type of change: Expand the drop-down to choose the type of change you want to make.
- Add to existing: Add the Positions you select without affecting the users' current Positions.
- Remove from existing: Remove the Positions you select without affecting any of the users' other Positions.
- Replace all existing: Remove the users' Positions and replace them with the new Positions you select.
- Clear existing: Remove all of the users' current Positions.
- Select the Positions: Use this field to search for and select the appropriate Positions.
- Click Save.
Change Employment Statuses
If your organization does not have any Employment Statuses configured, this option will not be available.
After clicking Change Employment Statuses, the "Bulk Change Employment Statuses" window will open.
- Select the type of change: Expand the drop-down to choose the type of change you want to make.
- Add to existing: Add the Employment Statuses you select without affecting the users' current Employment Statuses.
- Remove from existing: Remove the Employment Statuses you select without affecting any of the users' other Employment Statuses.
- Replace all existing: Remove the users' Employment Statuses and replace them with the new Employment Statuses you select.
- Clear existing: Remove all of the users' current Employment Statuses.
- Select the Employment Statuses: Use this field to search for and select the appropriate Employment Statuses.
- Click Save.
Change Certifications
If your organization does not have any Certifications configured, this option will not be available.
After clicking Change Certifications, the "Bulk Change Certifications" window will open.
- Select the type of change: Expand the drop-down to choose the type of change you want to make.
- Add to existing: Add the Certifications you select without affecting the users' current Certifications.
- Remove from existing: Remove the Certifications you select without affecting any of the users' other Certifications.
- Replace all existing: Remove the users' Certifications and replace them with the new Certifications you select.
- Clear existing: Remove all of the users' current Certifications.
- Select the Certifications: Use this field to search for and select the appropriate Certifications.
- Click Save.
Change Default Board
After clicking Change Default Board, the "Bulk Change Default Board" window will open.
- Choose Board: Expand the drop-down to choose which Board the users should see first whenever they log in.
- Click Save.
Change Badges
Your organization must have the Custom Badges module enabled for this option to appear.
After clicking Change Badge(s), the "Bulk Change Badge(s)" window will open.
- Select the type of change: Expand the drop-down to choose the type of change you want to make.
- Add to existing: Add the Badges you select without affecting the users' current Badges.
- Remove from existing: Remove the Badges you select without affecting any of the users' other Badges.
- Replace all existing: Remove the users' Badges and replace them with the new Badges you select.
- Clear existing: Remove all of the users' current Badges.
- Select the Badges: Use this field to search for and select the appropriate Badges.
- Click Save.
Send Activation Email
Only General or Capture users that have an email address and have not yet activated their account will be sent an activation email.
After clicking Send Activation Email, the "Bulk Send Activation Email" window will open.
- Click Bulk Send Activation Email.
Update Single Sign-on Bypassed
Your organization must have the Single Sign-On (SSO) enabled for this option to appear.
After clicking Update Single Sign-on Bypassed, the "Update Single Sign-on Bypassed" window will open.
- Single Sign-on Bypassed: Expand the drop-down to select whether or not single sign-on should be bypassed for these users.
- Select True to enable username and password management, exempting these users from your organization's single sign-on system.
- Select False to force the users to use your organization's single sign-on system.
- Click Save.
Change Digest Days
After clicking Change Digest Days, the "Bulk Change Digest Days" window will open.
- Choose Days of Week: Each day of the week will be listed alongside a checkbox. Check the box corresponding to each day on which these users should receive their digest emails.
- Click Save.
Change Subscription Days
After clicking Change Subscription Days, the "Bulk Change Subscription Days" window will open.
- Choose Days of Week: Each day of the week will be listed alongside a checkbox. Check the box corresponding to each day on which these users should receive their subscription emails.
- Click Save.
Change Digest/Subscription Time
After clicking Change Digest/Subscription Time, the "Bulk Change Digest/Subscription Time" window will open.
- Email Time and Time Zone: Select the time and time zone at which these users should receive their digest and subscription emails.
- Click Save.
Turn Email On/Off
After clicking Turn Email On/Off, the "Bulk Turn Email On/Off" window will open.
- To turn on email for these users, select On.
To turn off email for these users, select Off. - Click Save.
