Bulk Change Attribute Values

Update or delete many Attribute Values simultaneously.

If you are updating an Attribute's values, you might need to edit or delete many values. Rather than updating each value one at a time, you can utilize Bulk Change to speed up the process. This is especially helpful if a particular Attribute has a large number of values. 

Who can Bulk Change Attribute Values?

Anyone with the "Quality Administrator" permission can bulk change Attribute Values. 

However, if your organization has multiple Groups, you must also have the Multi-Group Administrator permission to bulk change Attribute Values. 

Bulk Change Attribute Values

To bulk change Attribute Values, navigate to the Admin section.

  • Select Attributes to open a list of your organization's Attributes.
  • Select the Attribute whose values you want to edit. 
  • Select the Actions button. In the resulting drop-down, select Bulk Change
  • A checkbox will appear next to each value and folder, and a "Bulk Change" button will appear in the top left corner. Select the checkbox of each value you want to include in the bulk change.
    • Selecting a folder will include all the folder's values in the change.  
  • Select Bulk Change
  • In the resulting drop-down, choose the type of change you want to perform. 

Bulk Change Locations

After selecting "Change Locations", the Bulk Change Locations window will open. 

  • Select the type of change: Use the drop-down to specify the type of update you want to make.
    • Add to existing: Each Attribute Value will be assigned the Location you specify in the bulk change. If an Attribute Value is already assigned to a Location, that Location will be preserved alongside the new Location.  
    • Remove from existing: Each Attribute Value will be removed from the Location you specify in the bulk change. If an Attribute Value is also assigned to a different Location, that Location will be preserved.
    • Replace all existing: Each Attribute Value will be assigned the Locations you specify in the bulk change. If an Attribute Value was already assigned to a Location, that Location will be removed and replaced.
    • Clear all existing: All Locations for each Attribute Value included in the bulk change will be removed, leaving the values without a Location. 
  • Location(s): Use the drop-down to select a Location. This field will not be present if you choose the "Clear all existing" option. 

Ofie Profile PicNote: Changing Location will not affect any Attribute Value folders included in your bulk change. It only affects values. 

Ofie Profile PicPro Tip: Attribute Values with a Location matching your Location or any below it will appear first when you update this Attribute on an Item. The Location does not prevent users in other Locations from using it. 

Bulk Change Groups

After selecting "Change Groups", the Bulk Change Groups window will open. 

  • Select the type of change: Use the drop-down to specify the type of update you want to make. 
    • Add to existing: Each Attribute Value will be added to the Group you specify. If an Attribute Value is already assigned to a Group, it will retain that assignment while the new Group is also included.
    • Remove from existing: The Group you specify will be removed from each Attribute Value included in your bulk change. If an Attribute Value is also assigned to a different Group, that assignment will remain intact.
    • Replace all existing: Each Attribute Value will be assigned to the Group you specify. If an Attribute Value is already assigned to a Group, that Group will be removed and replaced. 
    • Clear Existing: The Group assignment for each Attribute Value will be removed, meaning those Attribute Values will now exist in all Groups. 
  • Groups: Use the drop-down to select a Group. This field will not be present if you choose the "Clear all existing" option. 
  • Select Save to apply the change. 

Bulk Change Note

After selecting "Change Note", the Bulk Change Note window will open. 

  • Note Change: Use the drop-down to specify the type of update you want to make.
    • Remove Note: Each Attribute Value included in your bulk change will have the "Include Note" checkbox unselected. When users select these values on an Item, they will no longer have the option to leave a note. 
    • Include Note: Each Attribute Value included in your bulk change will have its "Include Note" checkbox selected. When users select these values on an Item, they will have the option to leave a note. 
      • Require Note: Select the checkbox to ensure the note is required on each Attribute Value included in your bulk change. 

Ofie Profile PicNote: Changing the note selection will not affect any Attribute Value folders included in your bulk change. It only affects values. 

Bulk Archive

After selecting Archive the Bulk Archive window will open. 

  • Archive Change: Expand the drop-down to choose the type of change you want to make.
    • Archive: Archived values will no longer be available as options for users but will remain on existing Items until they are removed or replaced.
      • Values and folders that are already archived will be unaffected by this change. 
  • Unarchive: Unarchived values will once again appear on new Items.  
      • Values and folders that are not archived will be unaffected by this change. 
  • Select Save

Bulk Delete

After selecting Delete, the Bulk Delete window will open. 

  • Select the I understand this cannot be undone checkbox.
  • Select Save.  

Ofie Profile PicWarning: Use extreme caution when deleting Attribute Values. When you delete an Attribute Value, the Attribute Value will disappear from existing and new Items, and the data will be lost forever.
