Understand the types of notifications KaiNexus sends.
Notifications are essential for staying informed on updates related to your improvement work and for prompting timely action when needed.
KaiNexus offers several types of notifications, and understanding each one ensures that you receive the alerts most relevant to you.
Types of Notifications
There are five main categories of notifications in KaiNexus:
- Team Role Notifications
- Opt-In Notifications
- Digest and Subscription Emails
- User-Initiated Notifications
- Badge Notifications
Each serves a different purpose in keeping you informed of important platform activity.
Team Role Notifications
Team Role Notifications are notifications you receive for being on an Item Team. Their purpose is to keep everyone working on an Item up-to-date with information necessary for their specific role on the Team. Depending on what the notification is, it may be an email, in-app notification, or both.
Example of an in-app notification you receive when your Item is Overdue.
Which notifications you receive will depend on your specific Team Role. For example, the Responsible person needs to receive more alerts than Followers or Collaborators. Similarly, the Facilitator of a project requires more robust notifications than the Participants.

Opt-In Notifications
Opt-in notifications are customizable alerts that you can choose to receive or not. Both individual users and System Roles have the option to opt into these notifications.

Depending on how you configure the notification preference, opt-in notifications can be in-app-only alerts or both in-app and email alerts.
Digest and Subscription Emails
The Digest is an email that contains updates about your Items in KaiNexus. It includes notifications you've opted to receive, Team Role notifications, and notifications other users have shared with you. It serves as a summary of recent activity in the app that is specific to you.
Pro Tip: You can choose which days you receive Digest and Subscription emails by customizing your notification preferences.
Subscriptions are emails with links to the Boards or custom Lists to which you are subscribed. They serve as reminders to check these areas of the app for updates.

User-initiated Notifications
You can directly send notifications to other users. There are a few different ways you can send a notification to someone:
- @ mention another user in a comment or Text Area to send them an in-app notification.
- Use the Email Now check box while posting a Comment, Update, or Note to email your message to another user.
- Share an Item to email it to the team, specific people, or specific Locations.
- Set a reminder for yourself about an Item. This is a great way to send an in-app notification to yourself.
- Schedule a Review Date to send the entire Item team a notification on a date of your choice.
Badge Notifications
Lastly, KaiNexus also sends Badge notifications for organizations who have opted into universal Badges or use Custom Badges.
Badge notifications inform you of when you receive a Badge, lose a Badge, or are at risk of losing a streak.
Badge notifications utilize a combination of in-app and email alerts. Universal Badges will have standardized notification settings, while Custom Badges allow organizations to choose whether the notifications are in-app-only or email.

Which Notifications are Customizable?
Not all notifications in KaiNexus are customizable.
Some notifications, such as opt-in notifications and Digest and Subscription emails, are optional. You can update your notification preferences to choose when and if you receive these alerts.
However, other notifications, such as Team Role notifications and user-initiated notifications, are not optional. Furthermore, Team Role notifications are standardized, meaning you can't control which team members receive which notifications. It will always be the same depending on the Item's Team Type.
Important: There are some exceptions to the rule that Team Role notifications are not optional. Individual users can snooze notifications for an Item or turn off their email. If you are a KaiNexus Champion, you also have the option to completely turn off Team Role notifications for all Items of a Template type, but you must contact your Customer Success Manager to make this update.
