Filter and Sort a People List by Capacity

Create People Lists that show which users are over or under capacity.

Filter a People List by Capacity

People Lists are a great way to view the Current Capacity for a group of individuals. When creating a People List, you use the User Filter to set criteria for the people that are included in your List. 

Use the Capacity Category criterion in the User Filter to create a List of People based on whether they have commitments during a particular time frame or are under or over capacity for a specific Capacity Category. 

To filter a People List by Capacity:

  • Select a Capacity Category. 

    • After you select a Capacity Category, additional fields will appear. 
      • Starting and Ending: Use these fields to set a date range. Only users with commitments with a Start Date or End Date within the timeframe will be returned by the filter. 
      • By default, Any user with commitments matching your filter will be returned. Change the selection to Over Capacity or Under Capacity to find users that are over or undercommitted for your specified category. 
        • Hours or Items: This dropdown appears based on the measurement type used in the selected Capacity Category. You can leave it blank if you don’t need to specify how much a user is over or under capacity. However, entering a value lets you define the threshold a user must exceed to be included in the filter results. 
        • Week of: Use this field to specify a week in which a user must be over or under capacity to be included in the filter results. When you select a date, the filter evaluates the entire week that includes that date.

    Ofie Profile PicCaution: Be careful not to create conflicting date ranges between the Starting/Ending fields and the Week of field. For example, if you set the Starting and Ending dates to last month but choose a date from next week in the Week of field, the filter won’t return any results.

    Additionally, the Over and Under Capacity filters only reference the date selected in the Week of field. They do not consider the Starting and Ending date ranges. For example, if you only set the date range to last month and apply the Over Capacity filter, your List will show users who are currently over capacity and had commitments last month. To view users who were over capacity in the past, you must use the Week of field instead.

    Sort a People List by Capacity

    Sorting a People List by Capacity helps you quickly view the people who have the most or least available Capacity. 

    To sort a People List by Capacity: 

    • Hover over the column header of the Capacity Category you are interested in. It will highlight gray. 
    • Select the drop-down arrow. In the resulting menu:
      • Select Sort Ascending to order the List so that people with the most available Capacity are listed first. 
      • Select Sort Descending to order the List so that people with the least available Capacity are listed first. 

    Ofie Profile PicPro Tip: When using a People List Card or a custom People List, ensure your sort settings are saved by configuring them in the User Filter. This guarantees the list is sorted the same way every time you view it.
