Item Dates

When working with your items, there are several dates that are captured in KaiNexus for each Item. Some can be manually configured by Users, others are automatically determined by the application.

 

Created Date

The date on which the item was created or submitted in KaiNexus.

  • Hover over the Created Date in the Dates panel to view a tooltip with the exact time the Item was created.
  • This date and time cannot be manually changed unless otherwise overridden at a Template level. If enabled, anyone with edit abilities (via Team Role or System Role) on the Item would be able to manually change the Created Date. Reach out to your Customer Experience Lead to take advantage of this feature!

 

Assigned Date

The date on which the Responsible Person was assigned to work on the item.

  • Hover over the Assigned Date in the Dates panel to view a tooltip with the exact time the Item was created.
  • This date cannot be manually changed.
  • This date will only show on Improvements, Tasks, and Incidents.

 

Start Date

The date on which the work on an item transitioned into the Active status.

  • For in-progress Improvements, this date can only be edited by the Assigner or someone with the "Assign" permission for Improvements in the relevant Location(s); if the Improvement is nested under a Project, this date can be edited by the Project's Facilitator, Sponsor, or Leader; if the Improvement is nested under a Chart, this date can be edited by the Chart's Author.

  • For in-progress Incidents, this date can only be edited by the Assigner or someone with the "Assign" permission for Incidents in the relevant Location(s); if the Incident is nested under a Project, this date can be edited by the Project's Facilitator, Sponsor, or Leader; if the Incident is nested under a Chart, this date can be edited by the Chart's Author.

  • For in-progress Charts, this date can only be edited by the Author.

  • For in-progress Projects, this date can only be edited by the Facilitator.

  • For in-progress Tasks, this date can only be edited by the Assigner, Responsible Person, Author(s), and Collaborator(s).

  • For completed items, this date can only be edited by someone with the "Quality Administrator" permission.
  • Hover over the Start Date in the Dates panel to view a tooltip with the exact time the Item is/was set to start.

 

Anticipated Start Date

The date on which the work of a planned Item is expected to begin and when it is expected to transition into the Active status. This date is calculated by the System.

  • For in-progress Improvements, this date can only be edited by the Assigner or someone with the "Assign" permission for Improvements in the relevant Location(s); if the Improvement is nested under a Project, this date can be edited by the Project's Facilitator, Sponsor, or Leader; if the Improvement is nested under a Chart, this date can be edited by the Chart's Author

  • For in-progress Incidents, this date can only be edited by the Assigner or someone with the "Assign" permission for Incidents in the relevant Location(s); if the Incident is nested under a Project, this date can be edited by the Project's Facilitator, Sponsor, or Leader; if the Incident is nested under a Chart, this date can be edited by the Chart's Author

  • For in-progress Charts, this date can only be edited by the Author

  • For in-progress Projects, this date can only be edited by the Facilitator

  • For in-progress Tasks, this date can only be edited by the Assigner, Responsible Person, Author(s), and Collaborator(s)


Due Date

The date on which work on an active item should be completed. If the item is not completed by that date, it will transition into the Overdue status

  • In the week before the item is due, this date will be highlighted in yellow and its font turned to red. After the due date passes, this item is considered overdue and this date will be highlighted in red and an alert sent out o the team

  • For in-progress Improvements, this date can only be edited by the Assigner or someone with the "Assign" permission for Improvements in the relevant Location(s); if the Improvement is nested under a Project, this date can be edited by the Project's Facilitator, Sponsor, or Leader; if the Improvement is nested under a Chart, this date can be edited by the Chart's Author

  • For in-progress Incidents, this date can only be edited by the Assigner or someone with the "Assign" permission for Incidents in the relevant Location(s); if the Incident is nested under a Project, this date can be edited by the Project's Facilitator, Sponsor, or Leader; if the Incident is nested under a Chart, this date can be edited by the Chart's Author

  • For in-progress Charts, this date can only be edited by the Author

  • For in-progress Projects, this date can only be edited by the Facilitator

  • For in-progress Tasks, this date can only be edited by the Assigner, Responsible Person, Author(s), and Collaborator(s)
  • Hover over the Due Date in the Dates panel to view a tooltip with the exact time the Item is due.
  • A Due Date Time Frame allows you to set a minimum or maximum time frame for the Due Date based on the Item’s initial Start Date when assigning an Item. For example, customize your Improvement Template to have a minimum default Due Date of 5 days after the Start Date, but a maximum Due Date of 14 days after the Item’s Start Date. Reach out to your Customer Experience Lead to take advantage of this feature!
  • Note: Once the item is completed, the due date cannot be changed.

 

Anticipated Due Date

The date on which work on a planned item is expected to conclude. This date appears only if the due date is configured while planning the Item and is calculated by the system.

  • For in-progress Improvements, this date can only be edited by the Assigner or someone with the "Assign" permission for Improvements in the relevant Location(s); if the Improvement is nested under a Project, this date can be edited by the Project's Facilitator, Sponsor, or Leader; if the Improvement is nested under a Chart, this date can be edited by the Chart's Author.

  • For in-progress Incidents, this date can only be edited by the Assigner or someone with the "Assign" permission for Incidents in the relevant Location(s); if the Incident is nested under a Project, this date can be edited by the Project's Facilitator, Sponsor, or Leader; if the Incident is nested under a Chart, this date can be edited by the Chart's Author.

  • For in-progress Charts, this date can only be edited by the Author.

  • For in-progress Projects, this date can only be edited by the Facilitator.

  • For in-progress Tasks, this date can only be edited by the Assigner, Responsible Person, Author(s), and Collaborator(s).


Resolution Submitted Date

The date of when an item’s Resolution was submitted for approval and the item first transitioned into the Resolution Submitted status.

  • Hover over the Resolution Submitted Date in the Dates panel to view a tooltip with the exact time the Item was resolved.
  • If the Resolution is updated and re-submitted for approval, this date will be automatically updated.
  • This date cannot be manually changed.

 

Completed Date

The date of when an item was completed or resolved and it first transitioned into the Complete status.

  • Hover over the Completed Date in the Dates panel to view a tooltip with the exact time the Item was completed.
  • This date and time cannot be manually changed unless otherwise overridden at a Template level. If enabled, any user with primary edit permissions on an Item of this Template Type (via Team Role or System Role) will have the ability to edit the Completed Date. Additionally, there is an option to enable showing the Complete Date upon completion of the Item. Reach out to your Customer Experience Lead to take advantage of these features!
  • Note: Changing this date to a future date will not automatically reopen the item.

 

Review By Date

The date by which the item is scheduled to be reviewed.

  • For Improvements, this date can only be edited by the Responsible Person or Assigner, or someone with the "Quality Administrator" permission or the "Assign" permission for Improvements in the relevant Location(s); if the Improvement is nested under a Project, this date can be edited by the Project's Facilitator, Sponsor, or Leader; if the Improvement is nested under a Chart, this date can be edited by the Chart's Author.

  • For Incidents, this date can only be edited by the Responsible Person or Assigner, or someone with the "Quality Administrator" permission or the "Assign" permission for Incidents in the relevant Location(s); if the Incident is nested under a Project, this date can be edited by the Project's Facilitator, Sponsor, or Leader; if the Incident is nested under a Chart, this date can be edited by the Chart's Author.

  • For Charts, this date can only be edited by the Author.

  • For Projects, this date can only be edited by the Facilitator.

  • For Tasks, this date can only be edited by the Assigner, Responsible Person, Author(s), and Collaborator(s).
  • Hover over the Review By Date in the Dates panel to view a tooltip with the exact time the Item will need to be reviewed by. The time can also be chosen and seen when setting a Schedule Future Review.

 

Reviewed On Date

The date on which the item was reviewed.

  • For Improvements, this date can only be edited by the Responsible Person or Assigner, or someone with the "Quality Administrator" permission or the "Assign" permission for Improvements in the relevant Location(s); if the Improvement is nested under a Project, this date can be edited by the Project's Facilitator, Sponsor, or Leader; if the Improvement is nested under a Chart, this date can be edited by the Chart's Author.

  • For Incidents, this date can only be edited by the Responsible Person or Assigner, or someone with the "Quality Administrator" permission or the "Assign" permission for Incidents in the relevant Location(s); if the Incident is nested under a Project, this date can be edited by the Project's Facilitator, Sponsor, or Leader; if the Incident is nested under a Chart, this date can be edited by the Chart's Author.

  • For Charts, this date can only be edited by the Author.

  • For Projects, this date can only be edited by the Facilitator.

  • For Tasks, this date can only be edited by the Assigner, Responsible Person, Author(s), and Collaborator(s).
  • Hover over the Reviewed On Date in the Dates panel to view a tooltip with the exact time the Item was reviewed on. 

 

Archived Date

The date on which an item was archived.

  • Hover over the Archived Date in the Dates panel to view a tooltip with the exact time the Item was archived.
  • This date cannot be manually changed.

 

Last Updated Date

The date on which the item was most recently updated.

  • The date is automatically updated each time a change is made to the item that results in a Timeline entry.
  • Hover over the Last Updated Date in the Dates panel to view a tooltip with the exact time the Item was created.

How do I manually change one of those dates?

If you can manually edit a date, you will see a 2017-09-08_1642.png displayed next to it in the Dates panel. To change such a date:

  • Click the 2017-09-08_1642.png next to it.

  • In the resulting window, either:

    • Type the new date in the date field
      OR
    • Click 2016-06-20_1118.png to open the calendar which you can use to select the appropriate date
