Import data directly into a Chart

If you want to quickly transfer data from an Excel spreadsheet into a KaiNexus Chart, consider using the Chart import function.

NOTE: You can use the import function to update data and add rows of data, but not to add new series or delete existing rows.


How do I do it?

Build your Chart

You have to have your Chart in place before you can import your data. That means:

  • The Chart must exist in KaiNexus - you can create a new one or work with an existing one.

  • Every data series that will be in your spreadsheet must have been built in the Chart - that means each one should have a name, color, and type.

  • If your Chart needs to have any advanced settings, you should get those in place.

Once the Chart is built, you must save it at least once. If you attempt to upload data into a Chart that’s series have never been saved, you will get an error and the data will not be added.


Build your spreadsheet

The quickest way to get a spreadsheet in the correct format is to download the Chart as it is. To do so:

  • Open the Chart’s “Edit Data” window.

  • Click 2018-03-09_1531.png.

  • In the resulting drop-down menu, click 2018-03-09_1532.png.

The data will export as an Excel document. The relevant series and formatting will already be in place.

You’ll now need to enter your data into the spreadsheet. Some things to remember:

  • Cell 1A should say “Date” or “Category.”

    If you enter “Date,” column 1 should be a series of dates in the mm/dd/yyyy format corresponding to each data point.

    If you enter “Category,” column 1 should be a series of text corresponding to each data point.

  • You must not delete or change the name of any of the series listed in the rest of row 1.

    For Bar, Line, and Pareto series, the header should exactly match the name of the series.

    For Bowling series, the header should match the following - either option is fine:

    • The Target should be named “Series Name -Target-” or “Series Name

    • The Secondary Target should be named “Series Name -Secondary Target-” or “Series Name - Planned 2”

    • The Actual should be named “Series Name -Actual-” or “Series Name - Actual”

  • Do not include columns for any calculated data series in your spreadsheet. The system will calculate their values for you. This includes the “Accumulative %” series on a Pareo Chart.

    NOTE: If you upload data on a chart with calculated series, those series won't reflect the update until you save.

  • If the Chart you're working with already included data points, you'll need to make sure that data is saved as numbers before you upload your updated Chart data into Kainexus.


Import your spreadsheet

To import your Excel spreadsheet:

  • Open the Chart’s “Edit Data” window.

  • Click 2018-03-09_1531.png.

  • In the resulting drop-down menu, click 2018-03-09_1543.png.

  • Either drag the file you want to import onto the resulting window or click it and choose the correct file from your computer.

  • A confirmation window will appear with details about your import - see below for more information. When you’re finished reviewing it, click 2018-03-09_1609.png.


What do the results mean?

  • The words “Import Complete” with no warnings means that the import was successful and your data was uploaded.

  • The words “Import Complete” accompanied by a list of “Import warnings” means that the import has finished, but that there were some aspects which failed. In fact, it’s possible that so many elements failed that you won’t see any changes in your Chart’s data.

    The components that failed will not have been updated and you will need to correct the mistakes and try again.

    Each line of the import warnings gives a brief description of the problem and often tells you exactly in which cell the problem arose. For example:

    • If one of the warnings says “Data - column G - row 5: Expected cell of type NUMERIC but received type STRING,” the formatting of cell G5 is incorrect.

      You will need to edit the formatting of that cell and make it a numeric value before that data point will be uploaded.

    • If one of the warnings says “Data: The series ‘Accident Rates’ is not present in the import," your spreadsheet is missing a column/data series.

      You will need to add it before changes can be made to that data series.

    • If one of the warnings says “Data - column B - Row 1: There is no existing series that matches ‘Finances,’” you had a header in column B called “Finances,” but there’s no data series in your Chart that shares that name.

      You will need to either correct the name in your Excel spreadsheet to make it match an existing series, or you will need to create a series with that name in your KaiNexus Chart.


Save your changes

In order for your updates to take effect, you need to click 2018-03-09_1418.png.
