Attach a File to your Items

What type of Files are supported for attaching to your Items?

You are able to attach the following file types to your Items:

  • Images (.jpg, .png, .gif)

  • Powerpoint (.ppt, .pptx)

  • Word (.doc, .docx)

  • Excel (.xls, .xlsx)

  • Portable Document Format (.pdf)

  • Zip files (.zip)

  • Minitab (.mtw)

 

How do I attach a file to an Item I'm creating?

Drag the file you want to attach onto the "Create" screen or click  in the bottom right corner of that screen, then choose the file you want to attach from your computer.

 

How do I attach a file to an existing Item?

Open the Item with which you want to work, then:

  • Click 2018-04-13_1533.png in the "Files" section.

  • Select the correct file from your computer.

  • Drag and drop the file into the "Files" section.

How do I edit an existing attachment?

Open the file's "Edit" window as described above. From there:

  • Edit the name of the file in the “File Name” field.

    NOTE: Changing the file extension could prevent functionality such as previewing images.

  • Add or edit the file's description.

    This will be displayed whenever you hover over the file's name in the “Files” section.

    If the attachment is an image displayed in the “Images” area, the description will be displayed under the image in place of the file name.

  • If it's an image file, check or uncheck “Shown in Image area.” 

    If this box is unchecked, only the image’s name will be listed in the “Files” section. If this box is checked, the image itself will be displayed in the “Images” section and the file name will be listed in the “Files” section.

  • If the image is to be displayed in the "Images" section, choose where in that section this image will be displayed.

    • Pick "Default" to display the image in the next available position.

    • Pick "Force left" to display the image in the left column.

    • Pick "Force right" to display the image in the right column.

  • Click 2018-04-12_1427.png.

 

How do I delete an existing attachment?

Open the Item that holds that attachment, then:

  • Click 2017-10-03_1414.png in the top right corner of the “Files” section.

  • Click 2018-03-27_0432_002.png to the right of the file's name.

In the resulting window, click 2018-04-12_1427_001.png.

 

How do I download an attachment from an Item?

Click the attachment's name in the "Files" section.

If the attachment is an image, this will open a preview of the image rather than downloading it directly. Click Untitled.png in the top right corner of the preview to download the image.

NOTE: Hover over the attachment's name in the "Files" section to see its upload date and description (if one was added).

  

The "Images" section

When you attach an image file to an Item, it will automatically be displayed in its "Images" section - though you can edit the file so that it is not displayed there. Attachments displayed in the "Images" section will still be listed in the "Files" section.

Once an image file has been uploaded to the Item, an “Images” tab will be added and an “Images” section will appear on the main tab.

To configure whether the image should be shown in the "Images" section:

  • Click 2017-10-03_1414.png in the top right corner of the “Files” section, then

  • Click 2017-10-03_1415.png to the right of the file's name.

In the resulting window, check or uncheck “Show in Image area.” 

If this box is unchecked, the image’s name will only be listed in the “Files” area. If this box is checked, the image itself will be displayed in the “Images” section and the file name will be listed in the “Files” area.

If the image is to be displayed in the "Images" section:

  • Choose where in the "Images" section this image will be displayed.

    • Pick "Default" to display the image in the next available position.

    • Pick "Force left" to display the image in the left column.

    • Pick "Force right" to display the image in the right column.

  • Click 2018-04-12_1427.png.

 

project.png Who can add, edit, or delete a Project’s attachments?

 

Any KaiNexus user who has the permission to edit the Project can attach, edit, or delete files from it. This includes:



improvement.png Who can add, edit, or delete an Improvement’s attachment(s)?

 

Any KaiNexus user who has the permission to edit the Improvement can attach, edit, or delete files from it. This includes:

  • Author(s)

  • Assigner

  • Responsible Person

  • Collaborators

  • Anyone with the "Improvement - View New & Assign" permission for Improvements in that Location

  • Anyone with the "Improvement - Edit" permission for Improvements in that Location

  • If the Improvement is nested under a Project, the Project's Facilitators, Leaders, and/or Sponsors. If the Improvement is nested under a Chart, the Chart's Authors.

Any KaiNexus user who has the permission to edit the Chart can attach, edit, or delete files from it. This includes:

  • Author(s)

  • Anyone with the "Chart - Edit" permission in that Location



incident.png Who can add, edit, or delete an Incident’s attachment(s)?

Incident module enabled for your organization?

Any KaiNexus user who has the permission to edit the Incident can attach, edit, or delete files from it. This includes:

  • Author(s)

  • Assigner

  • Responsible Person

  • Collaborators

  • Anyone with the "Incident - View New & Assign" permission for Incidents in that Location

  • Anyone with the "Incident - Edit" permission for Incidents in that Location

  • If the Incident is nested under a Project, the Project's Facilitators, Leaders, and/or Sponsors. If the Incident is nested under a Chart, the Chart's Authors.
