Create a new Item in KaiNexus


If you want to create a new item, click the green 'Create' button at the top of the screen.

All of your organization’s templates will be listed in the resulting drop-down menu, with the workflow denoted by the icon alongside its name:

  • An image of a white lightbulb - An Improvement template or a grouping of Improvement templates.

  • An image of a white exclamation point inside a dark gray triangle - An Incident template or a grouping of Incident templates.

  • An image of a white folder - A Project template or a grouping of Project templates.

  • An image of a dark gray bullet point list - A Task template or a grouping of Task templates.

  • An image of a dark gray line chart - A Chart template or a grouping of Chart templates.

 

Click the name of the template you want to use to create your new item. 

 

In the resulting window:

NOTE: The template you select might not include all of these fields and options. That's alright! It just means that this template has been simplified by your organization.

  • Depending on the type of item, different information will be required; there may be optional fields and attributes as well. You will be required to enter a short summary of the item - this field is often called the “Title,” “Summary,” or “Theme.”

    Once you’ve entered the title, a blue badge will appear next to the magnifying glass if there are any items with a similar title. It will look something like this: an image of a dark gray magnifying glass alongside a blue circle containing the number four in white font. The number displayed on that badge correlates to the number of similar items.

    Hover over that icon to see a list of the titles of those similar items or click that icon to open a more detailed list.

  • If you want this item to be nested under another item, enter that item's name in the "Parent" field. If you want this item to be stand-alone - not nested under any other item - leave this field blank. Your organization's template configurations may or may not limit which items can be nested under others.

  • Users with the "Toggle Private" permission for items of this workflow in the relevant Location have the option to make items private by checking the box next to “Make Private." When an item is private, only people on its team or who have the "View Private" permission for items of this workflow in this Location will be able to access it. If you do not see this option despite having the appropriate permissions, your organization has restricted access to this checkbox.

  • Open the "Status & Team" section to choose the status into which this item should be entered, its team, and its Locations. If you do not see this section or to parts of it, your organization has restricted access to it on this template.

  • Add any attachments to the item. You can:

    • Drag and drop the file you want to add onto the "Create" window

      OR

    • Click the paperclip icon and pick the file you want to attach in the resulting window.
  • Add any links to the Item by clicking the chain icon.
  • Click the 'Create' button.

Once the Item has been submitted, a message containing a list of everyone who has been notified of the submission will be displayed.

The list of who was notified is determined by everyone in the organization's notification preferences. The only people who will be notified are those who have their notification preferences set to alert them when new items are submitted in your Location.

 

PRO-TIP: If you fail to complete submission when creating an Item in KaiNexus, the Item will auto-save as a draft for you to revisit later.

NOTE: An Item will be saved this way for 14 days from when it was last updated, after that it will be automatically deleted.

  • Click View__blue_.png to resume your submission of the Item you in the process of creating.

  • Click Delete__gray_.png to delete the Item you were in the process of creating.

  • Click “Dismiss Message” to continue using KaiNexus. You will be prompted again to take action on this Item later.
