Single Item Editing within a List

Ever been working with a list of Items and need to make lots of different types of changes, but don’t want to have to click into each of the Items in order to update them properly? We’ve brought the single field editing capabilities to make changes to Items without even opening them up.

 

Anywhere in KaiNexus where you see an Item List in the List View, Tree View, or Gantt View you can edit specific components of an Item directly from the value displayed within the column. 

 

This is particularly useful when you need to make a bunch of different types of changes to several Items within a List. If you need to make a bunch of the same type of change, please check out the Bulk Change Items page for more information.

Where can I enable single Item editing in KaiNexus?

Single Item editing is available in List, Tree, or Gantt View on an Item List. Item Lists can be found in several places within KaiNexus:

  • From within the Lists section Lists_section.png.

  • From within an Item List Card on a Board.

  • From within an Item’s nested Item List panel.



What can I update using single Item editing?

The following fields within an Item can be updated using single Item editing:

NOTE: You will only be able to edit these fields if you have the ability to edit that Item.

  • Title

  • Status

  • Parent

  • Originating Location(s)

  • Responsible Location(s)

  • Author(s) (Improvements, Incidents, Tasks, and Charts only)

  • Responsible (Improvements, Incidents, and Tasks only)

  • Assigner (Improvements, Incidents, and Tasks only)

  • Sponsor(s) (Projects only)

  • Facilitator(s) (Projects only)

  • Leader(s) (Projects only)

  • Collaborator(s) (Improvements, Incidents, and Tasks only)

  • Participant(s) (Projects only)

  • Participating Location(s) (Projects only)

  • Any Fields

  • Any Attributes

  • Start Date

  • Due Date

  • Completed Date

  • Review By Date

  • Weighted Scores

NOTE: These fields will need to be added as a column on your Item List. If you want to learn more about editing the columns on an Item List, check out this support page.



How do I enable single Item editing on a List in KaiNexus?

To enable single Item editing on a List:

NOTE: Make sure your Item List is in either the List View, the Tree View, or the Gantt View. Detail View, Kanban View, or Calendar View do not support single Item editing.

  • Navigate to the Item List with the Items you wish to make changes to.

  • Hover over the Item in the List you wish to make an edit to so that it is highlighted blue.

  • Right-click on the Item and in the resulting drop-down menu:

NOTE: The list of available options can vary per Item based on your level of permissions with the particular Item you are interacting with.

    • Select Open_in_a_new_tab.png to open the highlighted Item in another tab on your current browser.

    • Select Copy_Link.png to copy a direct link to the highlighted Item to your clipboard.

    • Select Enable_Edit.png to be able to quickly edit individual columns that are currently visible on your list for the highlighted Item.

NOTE: Single Item Editing is not supported for Archived Items.

    • Hover over Edit_Status.png to select one of the following below to change the current status of the highlighted Item.

      • SelectStatus_picker_-_Submit.png to change the status of the highlighted Item from Draft to New.

      • Select Status_Picker_Make_New.pngto change the current status of the highlighted Item back to New

      • Select status_picker_-_Plan.pngto change the current status of the highlighted Item to Planned.

      • Select status_picker_-_Activate.pngto change the current status of the highlighted Item to Active.

      • Select Status_Picker_Resolve.pngto change the current status of the highlighted Item to Resolution Submitted or Complete depending on your workflow and approval process.

      • Select status_picker_-_Complete.pngto change the current status of the highlighted Item to Complete.

      • Select status_picker_-_Defer.pngto change the current status of the highlighted Item to Deferred.

    • Select Edit_Details.png to be able to edit any details of the highlighted Item, including Title, any Fields or Attributes, Parent, Private status, Honor Roll, etc.

    • Select Edit_Parent.pngto be able to edit the Parent Item that the highlighted Item would be nested under.

    • Select Edit_Team.png to be able to edit the Team members of the highlighted Item.

    • Hover over Edit_Date.png to select one of the following below to change the respective date of the highlighted Item.

      • Select Start_Date.png to edit or set the current Start Date of the highlighted Item.

      • Select Due_Date.png to edit or set the current Due Date of the highlighted Item.

      • Select Complete_Date.png to edit or set the current Completed Date of the highlighted Item.

      • Select Review_By_Date.png to edit or set the current Review By Date of the highlighted Item.

      • Select Remind_Date.png to edit or set the current Remind Date of the highlighted Item.

    • Select Edit_Locations.png to be able to edit any of the Location(s) of the highlighted Item.

    • Select Add_Comment.png to be able to add a comment to the highlighted Item.

    • Select Archive.png to archive the highlighted Item.

    • Select Delete.pngto delete the highlighted Item.

 

  • By selecting Enable_Edit.png for an Item, a Single_field_edit.png will appear to the right of each one of the aforementioned fields that you have the ability to edit. 

NOTE: You can enable single item editing on up to 10 Items within your List at a time. Once you enable it on an 11th Item, the system will automatically disable the single item editing options for the first of the 10 Items that was enabled on.

  • Click the Single_field_edit.png next to the field you wish to edit.

  • In the resulting window, make your desired change to that field.

  • When you are finished, click Save.png.
