Recording a Time Savings impact

NOTE: If you're a Quality Admin looking for information on configuring Time Savings People, check out this support section.

If your Improvement saved somebody time, you'll want to record it as having had a Time Savings impact. NOTE: Your organization must have a Time Savings impact type in place for this type of Improvement or else you will not be able to do so.

 

How do I record a Time Savings impact?

  • Open the Improvement with which you want to work.

  • Open the Resolution window and fill in any required information as you normally would.

  • If you're asked "Did this result in a change," click "Yes."

  • Check the box next to the option relating to time savings - the name of this option may have been customized by your organization, but the default text is "Time Savings."

If you stop here, the Improvement will be marked as having resulted in a Time Savings, but no one will know whose time was saved, how much time was saved, or the financial impact of that time savings. To add more detail:

In the resulting window:

  • Enter the type of person whose time was saved in the "Person" field. The hourly rate your organization configured for this type of person will be used to calculate the financial impact.

    If the type of person you're looking for hasn't been configured in the system, you won't see it listed here. In that case, you should check the box next to "Unknown Person." NOTE: A financial impact will not be chosen if you select this option.

  • Enter the number of this type of person affected in the "How many?" field. This will serve as a multiplier for the hourly rate of the type of person to calculate the financial impact.

  • If given the option, choose how often this time savings will take place, and then enter the time saved by EACH person. This will be used to calculate the total financial impact. Depending on the settings your organization is using for this impact type, your available options will include:

    • One-Time: Use this option if the time savings you're recording took place on a single occasion. Enter the amount of time saved in the "Amount" field, being sure to select the correct unit of time.

    • Recurring: Use this option if the time savings will recur on a regular basis. Enter the amount of time saved in the "Amount" field, being sure to select the correct unit of time, then choose how often it will occur in the "per" field.

    • Range: Use this option if the time savings will recur over a known date range. Enter the amount of time saved in the "Amount" field, recognizing that this is recorded as the number of hours saved per month. Enter the date on which the time savings will begin in the "Start date" field and the date on which they will end in the "End date" field.

    • Custom: Use this option if the time savings will recur on an irregular basis over some time frame. Once you click "Custom," a new window will open. From here:

      • Click 2017-08-09_1108.png to add a new "Year" row. By default, it will be set to the current year, but you can change that if required.

      • Enter the time saved in each month, as appropriate, adding more "Year" rows as necessary.

    • Unknown Amount: Use this option if you're not sure how much time was saved. NOTE: A financial impact will not be calculated if you choose this option.

  •  Explain how you calculated the time saved in the "How did you base the above calculation?" field. This will ensure that a record is kept.

Back in the "Resolution" window:

  • If you have more Time Savings to record, repeat the steps above.

  • Otherwise, click 2017-08-09_1118.png.
