Disable Default Team Role-based Email Notifications

By default, if a user has provided an email address for their KaiNexus account, the platform will automatically send them email notifications regarding Items in the system for which they are a Team member.


On a per-Template basis, your organization can decide to disable these types of email notifications. This would mean, for example, that if you were added to an Item as a Sponsor, you would not receive an email notifying you of this action.

Which notifications can not be disabled?

The following notifications can not be disabled, meaning users will still get email notifications for these actions even if Team Role-based notifications have been disable for a given Template:

  • Deleted Items. If a user deletes an Item, the Item's Team will receive an email notification.
  • Comments set to "Email Now." When users leave a comment on an Item, they have the option to email their comment to any other user, including members of the Team or the entire Team. Anyone selected during this process will receive an email about the new comment.
  • Manual notifications about Resolutions. When users submit a Resolution for an Item, they may choose to send an email notification to any other user or an entire Location. Anyone selected during this process will receive an email notification.
  • Shared Items. Users may choose to share an Item at any time. Anyone selected during this process will receive an email about the new comment.
  • Personal notification preferences. If a user has any notification preferences — whether inherited from a Role or configured on their user profile — configured to send them an email notification, they will receive that email notification.

Which notifications can be disabled?

All other Team-based notifications can be disabled. For example, Team members would no longer be notified:

  • If they were added or removed from a Team role
  • If they were Requested to be the Responsible Person
  • If someone declined the request to be the Responsible Person
  • About submitted or declined Resolutions
