Award and Remove Badges

Give people Badges to recognize achievements and encourage important behaviors

Ofie Profile PicImportant: The actions on this page are only available to organizations with the Custom Badges Module. Universal Badges are automatically granted when users meet each Badge's criteria.

Your organization can have many types of Badges—some awarded automatically, others manually. This guide walks you through how to manually award Badges to users for their achievements, including:

Who can award a Badge?

The following people can award a Badge to another user: 

  • Users with a System Role defined as an awarding role in the Badge's settings can award that specific Badge. 
  • Users with the Badge Administrator permission in their System Role can award any manually awarded Badge.

How to award a Badge

You can award a Badge to a user in three places: on their profile, on their Badges page, and while editing their account

On a user's profile

The easiest way to award someone a Badge is to visit their profile. You can do this by selecting their profile picture anywhere it appears in the platform, including in People Lists and Item Teams. 

While viewing the person's profile: 

  • Select the Award Badge button. This will open a drop-down menu displaying all the Badges you have permission to award. Select any Badge in the list.
    •  If you do not have permission to award a Badge or there are no remaining Badges you can award, this button will not appear.
  • In the Award Badge window:
    • Comment: Add a message to the Badge award. Badge notification emails will include this comment, and admins will also see it when editing a user's Badge awards. 
    • Select Save

In a user's Badges page

You can also award someone a Badge while viewing their current Badges in their Activity window. To use this method: 

  • Select the person's profile picture anywhere it appears in the platform, including in People Lists and Item Teams. 
  • Select View Badges.
  • Select the Award Badge button. This will open a drop-down menu displaying all the Badges you have permission to award. Select any Badge in the list. 
    • If you do not have permission to award a Badge or there are no remaining Badges you can award, this button will not appear.
  • In the Award Badge window:
    • Comment: Add a message to the Badge award. Badge notification emails will include this comment, and admins will also see it when editing a user's Badge awards. 
    • Select Save

While editing a user account

Lastly, you can update a user's Badges while editing their account. To use this method, you must have the following permissions in your System Role:

  • Global Badge Administrator, and 
  • Global User Administrator or Location User Administrator, depending on whether you need to award a Badge to a user anywhere in the Network or a user within your branch of the Network.

Remove a Badge

You can remove a user's Badge in two places: on their Badges page and while editing their account

In a user's Badges page

You can remove any Badges you have permission to award from the Badges page in a person's profile.  Select their profile picture anywhere it appears in the platform, including in People Lists and Item Teams. 

While viewing the person's profile: 

  • Select View Badges.
  • Hover over the Badge you want to remove. A blue ellipsis icon will appear on its right.
  • Select the ellipsis icon. In the resulting drop-down menu, select Remove

    • You will only see the "Remove" option if you were the person who awarded this Badge to this user. You cannot remove Badges you did not award unless you have the Global Badge Administrator permission, which allows you to manage all of a user's Badge awards
    • If this Badge can be awarded multiple times, selecting 'Remove' will delete the most recent instance you awarded to this user.
  • Select Remove Badge in the confirmation window. 

Ofie Profile PicCaution: We started tracking who awarded Badges on April 12th, 2025. If you awarded someone a Badge before this date, you cannot remove it using this method. You must be a Global Badge Administrator, and edit the user's account or Badge awards

While editing a user's account

You can also update a user's Badges while editing their account. To use this method, you must have the following permissions in your System Role:

  • Global Badge Administrator, and 
  • Global User Administrator or Location User Administrator, depending on whether you need to award a Badge to a user anywhere in the Network or a user within your branch of the Network.

Manage a user's Awards

Users with the Global Badge Administrator permission in their System Role can view a log of all Badge awards for each Badge and remove them, regardless of who awarded the Badge. 

To manage a user's Awards, select their profile picture anywhere it appears in the platform, including in People Lists and Item Teams. 

While viewing the person's profile: 

  • Select View Badges.
  • Hover over the Badge you want to remove. A blue ellipsis icon will appear on its right.
  • Select the ellipsis icon. In the resulting drop-down menu, select Edit Awards.
  • In the Edit Badge Awards window:
    • A log of each time this Badge was awarded will be listed, including who awarded the Badge, the date of the award, and the associated comment. 
    • To remove a Badge award, hover over it, and select the x icon on the right. 
    • To apply your changes, select Save
