Archive and Unarchive Fields

Archive a Field to prevent it from appearing on new Items while retaining historical information.

Who can archive and unarchive Fields?

Anyone with the Quality Admin permission can archive and unarchive Fields.

People with other admin permissions may be able to access the Fields Administration page, but will not be able to make changes to it.

Archiving Fields

If you want to stop a Field from being available on new Items without losing the values that have already been added to existing Items, you can archive it.

What happens when you archive a Field?

When a Field is archived:

  • The Field will remain visible on existing Items — as "[Field Name] (Archived)" — until it is saved without a value. It will not be available when creating new Items.
  • Archived Number and Date Fields will no longer be available criteria in the Item Filter. 

How to archive a Field

To archive a Field, log in to the organization with which you want to work, navigate to the Fields administration page.

Then:

  • Hover over the Field with which you want to work so that it's highlighted blue, then click the archive icon that appears to its right.
  • In the resulting confirmation window, click Archive. Archived Fields are hidden from the list of Fields by default, so this Field will disappear from the list unless the Show Archived checkbox is enabled.

    You may need to log out and back in to see your changes take effect.

Unarchiving Fields

If you want to restore an archived Field to full functionality, you can unarchive it.

What happens when you unarchive a Field?

  • The Field will become available when creating or editing Items configured to include it.
  • Number and Date Fields will once again appear as possible criteria in the Item Filter. 

How to unarchive a Field

To unarchive a Field, log in to the organization with which you want to work, navigate to the Administration page, and then navigate to the Fields administration page.

Then:

  • Archived Fields are hidden by default. Click the Show Archived checkbox to include archived Fields in the list.
  • Hover over the Field with which you want to work so that it's highlighted blue, then click the unarchive icon that appears to its right.
  • In the resulting confirmation window, click Unarchive.

    You may need to log out and back in to see your changes take effect throughout the rest of the system.
