Alerts



Why are some items flagged for me?

KaiNexus automatically flags items that need your attention. That way, you know right away what needs to be addressed when you log into KaiNexus. Alerts either deliver information (e.g. that a new comment was added to the item) or prompt you to take action (e.g. that a resolution has been submitted).

Many people configure a Card on their default Board to display all Improvements that are flagged for them.

Another popular way people view their flagged items is to click  next to their name at the top of the screen to open the Notifications Screen. To find out why the item was flagged for you, click its name to open it. 

 


How can I remove an alert?

Informative alerts can be removed by clicking   on the alert. Alerts that prompt you to take an action are automatically removed once that action is complete.

After you remove an alert, that item will no longer be displayed in the Notifications tile.

 

What alerts might I encounter?

  • This Is New
    This alert will appear on any Improvement, Project, or Task for which you are the Assigner. It is intended to serve as a reminder that you need to assign the item before work can begin.

    To quickly assign the item, just click "Assign" on the flag. This will open a window in which you can choose the appropriate person to whom this item should be given.


  • Status Changed To Active
    This alert is used to signify Improvements, Projects, or Tasks which have become active.


  • Status Changed To Planned
    This alert is used to signify Improvements or Projects which have been planned. It serves as a notice that the Improvement has been evaluated by the appropriate leaders and that it will be worked on at a later date.


  • Status Changed To Deferred
    This alert is used to signify Improvements or Projects which have been deferred. A deferred item has evaluated by your leadership, but no decision has yet been made as to whether or not to implement it.


  • A Resolution Has Been Submitted
    This alert is intended to serve as a reminder that you need to review the Resolution before it can be accepted (or declined, if unsatisfactory).

    To quickly review the Resolution, just click "Review Resolution" on the alert. This will open a window in which you can review, edit, and accept or decline the Resolution.

    This alert will appear on an item if the following conditions have all been met:


    • You are the assigner.

    • The item requires assigner approval for a Resolution to be accepted, as determined during its creation.

    • A Resolution has been submitted.


  • Status Changed To Completed
    This alert is used to signify Improvements, Projects, or Tasks which have been completed. A completed Task has been completed; an Improvement has had its Resolution submitted and approved (if necessary); a Project has been closed.

    To quickly view an Improvement's Resolution, just click "Resolution" on the flag.


  • You Were Made An Author
    This alert is used to signify that you have been made the Author of an Improvement or Task. This most commonly is triggered when someone enters an item on your behalf.

    To see more detailed information about this update, just click "Timeline" on the alert.


  • You Were Removed As An Author
    This alert signifies that you are no longer the Author of a Task or Improvement. This is most commonly triggered when someone updates the information of an item to show that, while you submitted the item itself, someone else actually came up with the idea and should be credited with it.

  • You Were Made the Responsible
    This alert signifies that you have been made responsible for an Improvement.

    To see more detailed information about this update, just click "Timeline" on the alert.


  • You Are No Longer the Responsible
    This alert signifies that you are no longer responsible for an Improvement.

    To see more detailed information about this update, just click "Timeline" on the alert.


  • You Were Made A Collaborator
    This alert is used to signify that you have been made a Collaborator on the Improvement. 

    To see more detailed information about this update, just click "Timeline" on the alert.


  • You Were Removed As A Collaborator
    This alert signifies that you are no longer a Collaborator on the Improvement. 

    To see more detailed information about this update, just click "Timeline" on the alert.


  • You Were Removed As A Follower
    This alert signifies that you are no longer following the Project, Improvement, or Task.

    To see more detailed information about this update, just click "Timeline" on the alert.


  • You Were Made A Facilitator
    This alert is used to signify that you were made the Facilitator of a Project. 

    To see more detailed information about this update, just click "Timeline" on the alert.


  • You Were Removed As A Facilitator
    This alert signifies that you are no longer the Project’s Facilitator.

    To see more detailed information about this update, just click "Timeline" on the alert.


  • You Were Made A Sponsor
    This alert is used to signify that you were made the Sponsor of a Project. 

    To see more detailed information about this update, just click "Timeline" on the alert.


  • You Were Removed As A Sponsor
    This alert signifies that you are no longer the Project’s Sponsor.

    To see more detailed information about this update, just click "Timeline" on the alert.


  • You Were Made A Leader
    This alert is used to signify that you were made the Leader of a Project. 

    To see more detailed information about this update, just click "Timeline" on the alert.


  • You Were Removed As A Leader
    This alert signifies that you are no longer the Project’s Leader.

    To see more detailed information about this update, just click "Timeline" on the alert.


  • You Were Made A Participant
    This alert is used to signify that you have been added as a Participant of a Project. 

    To see more detailed information about this update, just click "Timeline" on the alert.


  • You Were Removed As A Participant
    This alert signifies that you have been removed from the Project’s participant list. 

    To see more detailed information about this update, just click "Timeline" on the alert.


  • The Due Date Has Changed
    This alert denotes a change in the Improvement, Task, or Project’s due date. 

    To see more detailed information about this update, just click "Timeline" on the alert.


  • It’s Time To Review The Resolution
    This alert serves as a reminder that it is time for you to review the Improvement’s Resolution to ensure that it is still functioning as expected and intended.

    If that is not the case, you will probably want to
    reopen the Improvement so that it can be improved upon.


  • There Is A New Comment
    This alerts you to the presence of a new comment on this item. Clicking "Comments" on the alert will open the list of all comments on that item.


  • This Has Been Reopened
    This alert signifies that an item has been reopened. Typically, this occurs if it is discovered that the Resolution to the Improvement has not held up over time or if further work is determined to be necessary.


  • You Were Made The Assigner
    This alert signifies that you have been made the Assigner for an Improvement or Task. That means that you are responsible for assigning the item to the appropriate person and for approving their Resolution if necessary.

  • You Are No Longer The Assigner
    This alert is used to signify that you are no longer an item’s Assigner. That means that you will no longer be responsible for assigning the item or for reviewing its Resolution.


  • This Was Added To Your Project
    This alert signifies that the Project or Improvement has been added to – that is, nested beneath – your Project. Facilitators and Project leaders are notified.


  • You Were Assigned
    This alert is used to signify that you have been assigned a Task. That means that you are directly responsible for its completion.


  • The Start Date Has Changed
    This alert denotes a change in the Task or Project’s start date. To see more detailed information about this update, just click "Timeline" on the flag. 


  • You Have Been Requested To Work On This
    This alert signifies that someone has requested that you take responsibility for a Task. The decision to help is yours, but people are typically happy to help.

    To accept the Task, just click "Accept" on the alert. To decline, click "Decline" on the alert - the Assigner will be notified and will be able to assign the Task to someone else.


  • The Assignee Accepted
    You might see this alert if you have requested someone’s assistance with a Task and they have accepted responsibility for it.


  • The Assignee Declined
    You might see this alert if you have requested someone’s assistance with a Task and they have chosen not to work on it. You can view the details of this update by clicking "Timeline" on the alert, or assign it to some other employee by clicking "Assign."


  • The Resolution Was Declined
    This alert is used to notify that your submitted Resolution was not accepted by the Assigner. You should review their comment and explanation for their denial, and take the necessary actions to improve the Resolution before submitting another.


  • This Was Removed From Your Project
    You will see this alert on an Improvement that has been removed from your Project. That Improvement no longer falls under the purview of your Project, and unless you are otherwise affiliated with it, you no longer have any responsibility for it.


  • This Improvement Was Given Honor Roll Status
    This alert indicates that an Improvement was awarded Honor Roll status by leaders in the organization.

    Typically, 5-10% of Improvements will be given an Honor Roll status. Managers utilize the Honor Roll system to identify outstanding Improvements for future reference, and to recognize staff for their exemplary contribution.

  • A Milestone Has Been Approved
    You'll see this alert when a milestone on a Project or Improvement you're working on is approved.

  • A Milestone Has Been Un-Approved
    This alert is generated when a milestone on a Project or Improvement on which you're working is un-approved.

  • You Were Made an Owner
    This alert indicates that you were made the Owner of a chart.
